Provides support to the People & Performance department in a variety of areas focusing on employee on/off
boarding, employee records, HRIS, reporting & compliance.

Primary Responsibilities:

  • Coordinates designated new hire processes with key stakeholders to ensure a positive onboarding
    experience; routes new hire notices and communicates stock grant information to appropriate parties;
    prepares electronic new hire folders
  • Coordinates and completes I-9/E-Verify process for new hires and updates for existing employees; audits
    and maintains I-9 binders as required to ensure compliance. Shares training and best-practices with other
    team members as applicable. Stays current on updates to I-9 regulations.
  • Maintains immigration documentation files and assists in document preparation for related filings.
  • Updates and maintains the HRIS system; completes data input for employee on-board, off-board, and
    changes; generates monthly and custom reports and interfaces with IT to support system upgrades and
    other program updates, maintains user guide for system and processes; ensures Operations team is
    aware of all relevant employee changes (e.g. demographics, title, department, leave of absence, other
    relevant personal or job related changes
  • Collaborates with HR Business Partners and with other departments as needed to perform employee offboarding activities. Sends termination emails, completes required paperwork, sends out termination
    packets, collects forms, files and closes out employee and benefit files, updates HRIS, monitors the receipt
    of separation agreements and repayments; collaborates with payroll department to coordinate associated
    payments.
  • Establishes and maintains electronic personnel and benefit files
  • Performs data entry in BeneTrac system for new hires and terminations
  • Maintains organization charts
  • Administers the Tuition Reimbursement program
  • Initiates new relocation benefit services with program provider
  • Assist with annual performance review and compensation adjustment process (i.e. performance review
    tracking, updating HRIS, follow up, payroll interface)
  • Prepares and ensures the timely filing of EEO-1 and VETS-4212 reports
  • Assists with preparation of data for census reports for AAP; interfaces with consultants to address
    reporting needs
  • Maintains required State and Federal postings for Corporate and New Jersey offices
  • Serves as point person for adding and maintaining LMS content and designated Intranet content
  • Works with internal departments as needed in support of internal and external audits
  • Maintains the Job Description file; assists HRBPs and LMS Training group with annual job description
    updates
  • Works closely with Payroll, IT and other departments to administer employee data requests and resolve issues
  • Conducts employment verifications
  • Prepares credentialing letters for sales specialists
  • Performs other assignments as directed.

Education/Experience/Skills:
AA degree or equivalent with a minimum of 6 years related human resources experience. Bachelors degree
preferred.

Requires:

  • Demonstrated experience with supporting recruiting process (e.g. onboard/offboard)
  • Demonstrated knowledge and experience working with a variety of HRIS, including data entry, report
    generation and system maintenance
  • Demonstrated experience maintaining I-9 documentation and systems
  • Familiarity with state and federal employment regulations strongly desired
  • Proficiency in using the latest versions of Microsoft Office including Outlook, Word, and PowerPoint
  • Advanced proficiency with Excel
  • Demonstrated proficiency in data management and analytics
  • Excellent verbal/written and interpersonal skills
  • Strong analytical and problem solving skills and attention to detail
  • Excellent organizational skills. Detail oriented.
  • Self-motivation, team orientation and a pro-active approach to work
  • Demonstrated integrity, including the ability to maintain confidential information
  • Ability to accomplish multiple projects, work assignments and priorities with little supervision
