Position Summary:

Provides advanced administrative support for Finance, Corporate Communications, and Investor Relations functions. Handles complex details and advanced administrative duties; handles special projects and executes research and data analysis tasks. Work is often of a critical or confidential nature.

Primary Duties & Responsibilities:

  • Coordinates internal and external meetings and conference calls for Finance, Corporate Communications and IR teams.
  • Collaborates with other administrative assistants to appropriately prioritize managements time.
  • Maintains corporate calendar inclusive of investor conferences, scientific conferences, earnings dates, audit committee meetings, board meetings, and other key company events.
  • Maintains calendar and travel schedules; coordinates calls, meetings and conferences and makes travel arrangements, keeping all parties informed.
  • Managing information flow in a timely and accurate manner.
  • Monitors media that come through the Media company mailboxes.
  • Performs general office duties such as keeping filing up-to-date, (electronic & paper), scanning, photocopying and faxing documents as needed.
  • Assists in logistics for company events and activities.
  • Prepare expense reports as needed.
  • Performs project assistance/administration responsibilities and other assignments as directed, including assistance in other departments as required.

Education/Experience/Skills:

An Associates degree or an equivalent combination of education and applicable job experience may be considered. Bachelors degree preferred. A minimum of 6 years related experience, preferably in the pharmaceutical or biotech industry.

Must possess:

  • Strong analytical skills and the ability to comprehend complex instructions and maintain written records.
  • Demonstrated ability to schedule and coordinate multiple projects, priorities and resources.
  • Demonstrated ability to produce high quality work.
  • Ability to think through a project or task of some complexity and execute from beginning to end independently.
  • Proven ability to maintain confidentiality.
  • Effective organizational, communication, and time management skills.
  • Proficiency in all MS Suite programs.
  • Ability and willingness to learn new programs.
  • Strong interpersonal skills, including tact, diplomacy, judgment and flexibility.
  • Proficiency at supporting effective interactions between team members and among cross-functional teams
  • Ability to effectively share information and ideas within and outside of department in written or verbal form; able to put forth own ideas and gain understanding from others.
  • Ability to plan for the needs of the manager(s) supported.
  • Ability to implement process improvements.
  • Able to effectively share information and ideas within and outside of department in written or verbal form; able to put forth own ideas and gain understanding from others.
  • Proficient at supporting effective interactions between team members and among cross-functional teams.
  • Demonstrated ability to schedule and coordinate project priorities and resources and to produce high quality work.

Scope:

As a skilled specialist, completes tasks in resourceful and effective ways. Works on assignments requiring considerable judgment and initiative. Proposes best methods and procedures on new assignments.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 15 pounds.
