Provides administrative support to the commercial organization including Sales and Managed Markets.

Primary Responsibilities:

  • Sends email, postal mail and other communications.
  • Coordinates material utilized on Sales Source; the commercial intranet site.
  • Maintains field calendar of events and communicates activities across teams and departments.
  • Creates and proofreads documents, spreadsheets and presentations related to Sales and Managed Markets, collaborating with other departments as necessary.
  • Schedules team conference calls.
  • Works with Legal and Finance to support commercial procurement; processes contract requests, purchase orders, master services agreements, statements of work, and confidentiality agreements.
  • Reconciles field expenses through purchase orders and Concur/corporate credit card as needed.
  • Schedules commercial team internal meetings.
  • May schedule commercial interviews for open positions including securing meeting space and food and beverage as needed.
  • Develops and maintains strong effective relationships with ACADIA field personnel; fields questions and offers support to the sales team as needed.
  • Coordinates communication between the field team and internal personnel.
  • Plans and coordinates field visits for sales directors and other commercial leadership.
  • Manages travel arrangements for commercial meetings.
  • Maintains and manages confidential information accordingly.
  • May assist other commercial departments as needed.
  • Other duties as assigned.

Education/Experience/Skills:
Bachelors degree and one to three years of related experience or equivalent combination of education and experience. At least 6 years working within a pharmaceutical sales organization strongly desired. Must be highly organized, self-motivated, proficient with word processing (Word), spreadsheets (Excel) and presentations (PowerPoint). Must possess highest level of integrity and the ability to maintain confidential information. Must be able to work under pressure, prioritize projects and workload, and work to tight deadlines in a fast-paced environment.

Scope:
Uses professional concepts and company objectives to resolve complex issues in creative and effective ways, exercising judgment in selecting methods, techniques and evaluation criteria for obtaining results. Works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Determines methods and procedures on new assignments and may coordinate activities of other personnel.

Physical Requirements:
While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 25 pounds.
