Description

Fermilab is America's premier laboratory for particle physics and accelerator research, funded by the U.S. Department of Energy. We support discovery science experiments in Illinois as well as other locations around the world including; deep underground mines in South Dakota and Canada, mountaintops in Arizona and Chile, and additionally the South Pole.

Fermilab's Facilities Engineering Services Section (FESS) builds and maintains mission-critical conventional infrastructure and services from which high-energy physics research can be safely accomplished without interruption

Fermilab's FESS seeks a Section Administrator to provide high-level development and coordination of administrative talent and functions for the section and administrative assistance to FESS' management team.

You Will:
  • Manage and develop a group of department administrators: recruit, orient, train, develop annual goals, conduct performance evaluations, and assure administrative staff are meeting section and department needs.
  • Manage overall section administrative workload.
  • Develop section administrative policies and procedures and ensure their adoption across the section.
  • Provide section managers with general administrative assistance (scheduling, travel assistance, file and correspondence management, and special task assignments.)
  • Organize and facilitate conferences and meetings including scheduling, communications, document management, etc.
  • Conduct certain financial actions such as auditing and monitoring special funds, preparing purchase requisitions, and participating in vendor reviews for goods or services contracts.
  • Prepare and edit materials for reviews, reports, studies, and presentations.
  • Act as section liaison to HR including and tracking confidential personnel data and actions.

We Are Looking For:
  • High School diploma with a minimum of 5+ years of experience in relevant field
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Experience managing a team using a demonstrated team- and skill-building approach
  • Ability to perform efficiently and professionally under pressure
  • Ability to maintain appropriate confidentiality when required
  • Consistent attention to detail
  • Advanced competency in standard computer applications such as Microsoft Office (Word, Excel, Powerpoint), Adobe, and/or Google
  • Proficient in creating and maintaining online filesharing sites (Sharepoint, websites, etc.)
  • Ability to think strategically to identify opportunities for improvement and to recognize upcoming challenges and risks
  • Experience or training in project management processes
