The Interim Program Manager will assist the Dean in providing outstanding program management for the Undergraduate Bachelors completion programs offered in the School of Undergraduate Studies. The Program Manager provides comprehensive administrative, financial, and technological support and event management for all academic programs in the School of Undergraduate Studies. This position supervises student workers.

ADMINISTRATIVE SUPPORT

  • Provide administrative and clerical support for Dean.
  • Process new student applications for faculty review.
  • Attend department meetings, record and distribute/post minutes.
  • Maintains consistent communication with core and adjunct faculty regarding program information, requests, deadlines, responsibilities, etc.
  • Coordinate classroom scheduling, update course listings, and request, collect, organize and distribute faculty course descriptions and syllabi.
  • Ensure that all publications are prepared accurately and timely (i.e., class schedule, University academic catalog, student handbook, adjunct faculty handbook).
  • Process student narrative assessments and letter grade conversion requests.
  • Manage all Zoom information sessions.
  • Maintain consistent and effective communication with newly enrolled and prospective students utilizing various modes of technology.
  • Maintain OneNote advising module with academic advisors.
  • Coordinate with various offices (ie: Registrar Office, Student Affairs, Business Office, etc) to stay informed of important information or general announcements that need to be relayed to students.
  • Any additional duties as assigned by the dean.

BUDGETARY/FINANCIAL COORDINATION

  • Monitor and track school/project expenditures to ensure adequate funding throughout the year.
  • Receive and organize receipts for reimbursements, initiate check requests, process travel expense forms, and invoices, and reconcile statements. Monitor receipts and maintains accurate records.

EVENT/PROJECT COORDINATION

  • Coordinate all aspects of school-related events (lectures, symposia, workshops, alumni events).
  • Coordinate all intensive retreats for online programs.
  • Plan and organize logistics for events, ensuring their smooth operation.
  • Arrange for catering, AV equipment, and room reservation.
  • Staff events to ensure its smooth operation and that all logistics and other event details are implemented as planned.


Job Requirements:

EXPERIENCE AND EDUCATION

  • Bachelor's degree with a minimum of five years of experience working in higher education required; Master's degree with a minimum of three years of experience working in undergraduate advising preferred.
  • Excellent ability to operate computer systems (Microsoft Office Suite and database experience) and willingness and capability to learn online education platforms.
  • Highly organized and attentive to detail, and able to meet deadlines.
  • Willingness to work evenings and weekends, as needed.
  • Able to multitask, set priorities, work collaboratively, as well as independently and take initiative.
  • Excellent writing, communication, and interpersonal skills.
  • Ability to interact with faculty, students, staff and public with diplomacy and to interact with people of diverse backgrounds.

NOTES TO CANDIDATE

Working Conditions -- Duties are primarily performed in an office environment at a desk or computer terminal, typically, Monday through Friday. Some evenings/weekends as necessary.
