Provides executive level administrative support, of a complex and confidential nature, to the Dean of the Thayer School. Also provides administrative support to the Chief Financial and Administrative Officer, and as needed, provides assistance to Senior (and other) Associate Deans. Serves as liaison between the Dean's Office and constituents internal and external to the School, including the President, Provost and Dean of Faculty offices at Dartmouth College. Serves as primary point of contact and the ambassador for the Dean's office. Manages projects and events sponsored by the Dean's office. Envisions and plans operational improvements for the Dean's office. Interacts and works closely with the Dean's senior administrative staff and academic staff.

Executive Support (60%)

• Manages all aspects of the Dean's schedule ensuring that details of meetings, including background materials and travel requirements, are provided well in advance, communicated accurately, and follow up is timely. Ensures calendar accuracy as a priority.
• Handles confidential or sensitive information and exercises discretion concerning its disposition.
• Sets priorities for all meeting and event requests from others to ensure, in close consultation with the Dean and/or the CFAO , the best and most strategic use of his/her time.
• Coordinates all domestic and international travel arrangements and logistics, including ground, air, and accommodation requirements. Prepares detailed trip itineraries.
• Coordinates with other offices and departments for scheduling purposes and travel plans. Works closely with the Advancement Office regarding the Dean's travel schedule as it relates to Advancement initiatives.
• Builds and maintains strong communications with key stakeholders including Board of Advisors and their staff; senior faculty, administrators and staff; alumni; and students.
• Manages schedule changes seamlessly for the Dean and CFAO .
• Manages/schedules meetings for the Senior Associate Dean in regards to faculty-related matters, i.e. Research/Adjunct Committee, Committee on Conduct, Standards and Conflicts of Interest, Cook Center Steering Committee, Internal Review Committee for Proposals using Human Subjects, etc.

Communication/Project Management (25%)

• Serves as primary point of contact for Dean's office; communicates respectfully with a diverse community and a variety of constituents from across campus as well as external to Dartmouth.
• Interprets and applies Thayer School policies and procedures.
• Screens and organizes correspondence to the Dean's office, routes as appropriate, provides information, drafts replies as appropriate. Types correspondence, reports, etc. proofreads, edits, and makes corrections in format, spelling and punctuation.
• Envisions and plans operational improvements for the Dean's office.
• Remains cognizant of what is happening within the Thayer community and at Dartmouth; prioritizes various projects, targets due dates and information needed, making sure appropriate persons are aware of any potential conflicts.
• Organizes, prepares agendas and attends various meetings as requested by the Dean on an on-going basis, including faculty meetings, the annual faculty retreat, and meetings pertaining to faculty appointments and reappointments. Gathers information for these meetings, schedules rooms, distributes materials, and takes minutes of meetings and follows-up on details to ensure timely and accurate dissemination of information to the appropriate offices.
• Independently manages projects, exercising judgement and critical thinking.
• Leads or assists in the coordination, planning, implementation of special events and meetings that take place at Thayer School such as Investiture, Board of Advisor meetings, symposia, convocation/mid-year events, conferences, staff events and VIP visits to the school that involve the Dean. This includes securing rooms, lodging, catering, travel and schedule of events for guests of the Dean's Office if necessary.

Faculty Information (15%)

• Oversees the assembly and gathering of confidential materials and files pertaining to faculty appointments, reappointments and promotions. Maintains tenure decision procedures and documentation. Ensures that faculty appointments are properly processed. Responsible for maintaining and updating Thayer School's faculty information files and database.
• Works closely with the faculty search coordinator to set up and initiate the Interfolio Search links, and leads interaction with candidates on behalf of the Dean, including managing all details related to 2nd and future visits of candidates.
• Works closely with Thayer's Director of Human Resources regarding the hiring and renewal of all faculty, including visiting.
• Works closely with the Thayer registrar and Finance Center Director to maintain up-to-date teaching information for all faculty to ensure appropriate compensation is awarded.
