Overview

World Wildlife Fund (WWF), one of the world's leading conservation organization, seeks an Executive Assistant to the Chief Operating Officer (COO) at our Washington, DC office. The Executive Assistant provides confidential administrative support using extensive knowledge of WWF's policies, organization, and a high level of technical skill. Applying expertise and training from experience in supporting high-level executives, supports COO in preparation for meetings, develops memos and presentations, and serves as a key connector for coordination across departments. Coordinates with WWF staff and external stakeholders to ensure that actions are taken, and projects completed. Operates with considerable independent judgment and initiative, and contributes to the efficient and successful functioning of the COO function.



Responsibilities

  • Coordinates and maintains calendar for the Chief Operating Officer (COO). Coordinates all aspects of meetings, travel, trainings, and other events. Monitors deadlines, follow up on delegated tasks, and provide appropriate reminders. Coordinates any mailings or other distributions of information both internally and externally.
  • Prepares COO for meetings and assists with special projects. Collaborates closely with senior leaders and teams. Attends meetings with COO to document, as appropriate, critical commitments and follow through. Assists in executing follow up activities.
  • Makes high-level contacts of a complex and confidential nature both inside and outside the organization. Answers complex inquiries requiring detailed knowledge of the organization's procedures. Screens, routes, and answers phone calls and, and responds to routine and non-routine requests with discretion.
  • Manages communications including correspondence, preparing presentations for internal and external stakeholders, drafting and proofreading written memoranda, talking points, letters, reports, proposals and other communications.
  • Undertakes research, synthesizing information and prepares background materials for meetings. Responds to requests for information.
  • Provides general administrative support, including note taking at meetings, typing, faxing, photocopying, distributing materials, ordering publications, and requisitioning office supplies. Maintains complex files and file record for the department.
  • Assists with data and background information for budget process. Prepares and reviews expense reports, budget updates, and bills. Collects information and maintains logs, records or lists as needed.
  • Performs other duties as assigned.

Five years of demonstrated and progressively responsible experience in administrative positions, including three years experience supporting an executive.
