Overview

American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women's health care in Washington, DC, is currently seeking a District & Section Project Specialist who will assist the nine (9) District Program Managers and serve as their back-up during out of town meetings and vacation/sick leave. Maintain the College database for over 550 Fellow and Junior Fellow Officers. Weekly updates to the database for address changes and various officer updates. Assist with the management of Fellow District and Section Officer Elections (120-150 positions each year). Manage all requests for officer letterhead and business cards and special projects. Update and manage the “Contracts excel files” for District & Section contracts with Legal, FCS and District Managers. Manage, create and distribute certificates of appreciation for Fellow and Junior Fellow officers. Update the DSA files for the 11 budget codes for the department charges/expenses. Create flyers and promotional handouts for various meetings. Travel to meetings to assist with registration and administrative support as necessary.



Responsibilities

  • Assist 10 department staff with various programs and projects and maintain a clear line of communication between department staff. Back-up district offices for the 9 District Program Managers in their absence. (ie: vacation leave, medical leave, and meeting attendance). Serve as staff key contact for the Districts that do not have an office at national (II, XI, and XII).
  • Assist the Fellow Election Manager with the Fellow District and Section Officer Elections. Establish nominating committees, call for candidates, checking credentials in the ACOG database, develop and upload election ballots to VoteNet (120–150 officer positions each year). Update the ACOG Website for District and Section Activities with election information/results.
  • In ACOG's database (NetForum) maintain up-to-date officer information, committee member titles, terms, and contact information for over 550 officers and advisory council members. Enter committee information for the CDC and JFCAC in the database. Create queries and pull reports and frequently post updated rosters in the College files for staff use.
  • Manage the contracts excel file for all district & section contracts for meetings, dinners, regional staff and lobbyists. Follow the contract deadlines with FSC, Legal, Meetings staff and District Managers.
  • Work with the Senior Director to manage department expenses. Update department excel sheets for the expenses in 11 different accounts. Compare monthly reports from Finance for the 11 accounts and pull and record officer travel from ATC.
  • Design, develop and distribute certificates of appreciation for over 200 officers each year.
  • Schedule staff meetings, room assignments, appointments and video conferences such as BlueJeans, go to meetings, and assist with Teams.
  • Manage and distribute to ACOG staff 6 charts for interim and annual district meetings. Update charts monthly with new dates, attendance of ACOG officers and Presidential officers. Keep record of past and future district meeting dates, times, and locations. Manage the DSA office emails & fax accounts, send out and confirm delivery of federal express for International officers and other mailroom requests and update.
