The Development Associate reports to the Vice President of Institutional Advancement and is part of the Advancement Team at CIIS. The Development Associate's primary task is to serve as the Development Module Administrator of the Raiser's Edge NXT CRM software system in order to maximize fundraising efforts and foster lifelong donor engagement. Other responsibilities include working with the Development team to increase gifts to the Annual Fund; conducting prospect research and management; working with the Finance Office on gift and pledge reconciliation; coordinating mass mailings; scheduling donor visits; organizing events; managing the Development web pages, including the online donations and email marketing platforms; and communicating effectively with other departments across campus. The Advancement team at CIIS is dynamic and growing and is charged with raising the profile of, and financial support for, CIIS' academic and public programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Gifts Processing/Systems Administrator

  • Serves as the Development Module Administrator of the Raiser's Edge NXT development software system so as to maintain data integrity and fully use the database's capabilities to maximize the effectiveness of fundraising. Attends trainings and conferences to stay current with software upgrades and best practices.
  • Serves as the Development database point person for all data and donation-related communications with the Finance, Business, Information Technology, Alumni, and Financial Aid Offices. Plays a key role in campus conversations regarding enhancing the functionality of gift reporting and makes recommendations for improvements in cross-departmental information flow.
  • Trains colleagues to effectively use Raiser's Edge and Omatic and develops office procedures to increase efficiency.
  • Manages system of digital recordkeeping and documentation for Development Office.
  • Creates a user-friendly moves management tracking and reporting system through Raiser's Edge and Omatic.
  • Oversees the data migration, integration, and staff training for the transition from Jenzabar to Raiser's Edge NXT and Omatic.
  • Works with the Finance Office to reconcile gift reporting on a regular basis as well as prepare for the annual external campus audit.
  • Works closely with the Alumni Office in maintaining alumni database and use of search engines in identifying donor prospects.
  • Processes all gifts and pledges in compliance with IRS and CIIS gift reporting requirements. Tracks pledges and issues pledge reminders when needed. Drafts and updates all official acknowledgments.
  • Instrumental point person in the tracking of all scholarships on campus, from the initial gift to reporting back to the donor.
  • Responsible for the development and maintenance of online giving, ensuring that Development webpages and e-communications meet CIIS brand guidelines. Creates, customizes, and promotes giving opportunities to increase donor support of CIIS including (but not limited to) email solicitations, monthly giving, and matching gift programs.
  • Prepares weekly and other custom gift reports/analysis as requested by the Vice President of Institutional Advancement, CIIS' President, and the Advancement team. Carries major responsibility for the annual Honor Roll of Donors.
  • Completes fundraising information for external reports such as the Voluntary Support of Education Survey, which tracks fundraising progress at colleges and universities across the nation.
  • Helps identify new fundraising opportunities.
  • Represents the Advancement Team on technology-related steering committees.

Annual Fund

  • Coordinates all mass mailings for the Development Department, including direct mail solicitations and the CIIS annual report.
  • Manages the Development Department's e-solicitations and online fundraising processing and participates in other activities designed to boost giving from alumni and other donors.
  • Compiles, analyzes, and reports on the outcomes of events, online giving, and email solicitation projects.
  • Manages and tracks invitations, ticketing and registration, and volunteers for cultivation and fundraising events.

Project Research and Tracking

  • Conducts prospect research using online technology and other vehicles; creates profiles for use by the President, Vice President of Institutional Advancement, and other members of the Advancement team.
  • Develops and maintains a system to track major gift prospect activity, including all Heritage Society/planned gift donors.
  • Maintains all donor records.

Administration

  • Provides administrative assistance to the Vice President of Institutional Advancement and manages the administrative operations of the Advancement Office.
  • Prepares check requests and tracks expenses in the Development budget.
  • Supervises the student worker position for the Development Office.

Other Duties

  • Writes copy for the Development webpages, CIIS Today, and event invitations.
  • Communicates with trustees and major donors about their gifts and events.


Job Requirements:
  • Bachelor's degree and three to five years related experience, or equivalent combination of education and experience.
  • Advanced technical skills and computer literacy, including experience with Microsoft Office applications, particularly in utilizing formulas and pivot charts in Excel to manipulate complex data for customized reports, as well as experience in utilizing Adobe Photoshop for online campaign images and designs.
  • Enjoys working with numbers; strong technical and analytical skills.
  • Experience with relational databases; Raiser's Edge strongly preferred.
  • Experience with online fundraising and email marketing platforms, preferably Raiser's Edge.
  • Knowledge of the dynamics of online community interaction and communication, preferred.
  • Strong research skills; experience with prospect research preferred, including experience with WealthEngine or similar wealth screening software.
  • Strong communication and interpersonal skills. Comfortable sharing technical information with colleagues with different levels of technical understanding and prioritizing requests.
  • Excellent organizational skills, including scheduling and managing office procedures.
  • Excellent writing, editing, and proofreading skills.
  • Ability to work both independently and as part of a team.

Physical Requirements

This position requires the ability to:

  • Sit for extended periods of time and manage repetitive hand/wrist movements while using a computer keyboard and/or phone.
  • Bend, squat, stoop, and occasionally walk up several flights of stairs.
  • Lift and/or carry up to 10 pounds, occasionally.
