This position reports to the pre-clinical curriculum manager. The position will manage the daily administrative and course activities to facilitate an efficient administrative infrastructure supporting the course's goals in the medical school's curriculum.

Course Coordination and Assistance

  • Coordinates and schedules a variety of course activities.
  • Works directly with the course directors to prepare course materials, such as handouts, PowerPoint slides, electronic materials, etc. articles, handouts etc.
  • Coordinates with other offices and departments to arrange co-sponsorship of courses and events.
  • Plans, coordinates, and oversees projects related to the course.
  • Carries out the administrative needs of the pedagogical methods (conferences, TBL , PBL , etc.) including working with facilitators, locating or rearranging space, arranging for necessary services, coordinating schedules and overseeing actual event, as needed.
  • Assists in following up student absences, taking action where necessary to ensure continuous and effective implementation of the attendance policy.
  • Serves as a point of contact for course directors and faculty members to ensure all necessary arrangements for course implementation are complete.
  • Schedules, attends, keeps minutes, and monitors task list of individual course meetings.
  • Ensures that appropriate rooms are reserved and that textbooks are ordered.
  • Monitors security of and students' access to graded exams.
  • Interacts with and responds by phone, email and in person to questions from teaching faculty and students.
  • Maintains curriculum files and databases.

Course Management

  • Works closely with Geisel Instructional Technology to receive training on the implementation and technical application of courses in Canvas.
  • Works in collaboration with course directors to initiate and coordinate the preparation of materials written and created by Geisel faculty, course and program directors.
  • Works with faculty and course directors to build, manage, and maintain the Canvas courses.
  • Participates in the development and implementation of policies related to course design in Canvas.
  • Adds course directors and faculty to each Canvas course with the role appropriate for each individual.
  • Creates assignments, readiness quizzes, and discussions within Canvas as determined by the course director.
  • Organizes assignments in assignment groups to enable grade weighting as appropriate.
  • Manages importing quiz and exam grades into Canvas from ExamSoft as needed.
  • Works in collaboration with Geisel Instructional Technology to report and resolve issues within a course, the system, and/or the mobile app.
  • Works in collaboration with the course director to resolve issues related to course content, assignment due dates, etc.
  • Maintains knowledge of the Canvas application.

Curriculum Inventory

  • Collect course data for objectives and sessions.
  • Enters and submits course data to Geisel Instructional Technology for batch upload to OASIS .
  • Enters additional course data and corrections, as needed batch uploads.

ExamSoft Assessment Coordination

  • Maintains knowledge of the ExamSoft administrative application.
  • Maintains knowledge of the SofTest and SofTest-M test-taking applications.
  • Works with course directors to initiate and coordinate the preparation of assessment materials written and created by Geisel faculty, course and program directors.
  • Creates the exams in ExamSoft.
  • Maintains an accurate and organized question bank in ExamSoft.
  • Works with course directors to categorize exam questions.
  • Works cooperatively with faculty in developing and supervising the procedures for administering the exams.
  • Works with faculty and course directors to schedule exams.
  • Serves as a chief proctor for exams.
  • Works with Geisel.Exam.Support@Dartmouth.edu to arrange technical support at least 2 weeks before each exam date.
  • Assures accurate grading of assessments done through ExamSoft.
  • Reports exam and quiz grades to course administrators.
  • Generates reports for faculty and students.

Committee/Meeting Participation

  • Coordinates, attends, and participates in various meetings as requested by the curriculum manager.
  • Gathers information for the meetings, coordinates items for the agenda, and distributes material to participants prior to the meeting.
  • Takes minutes of the meeting, prepares and distributes reports, and follows up on details to ensure timely and accurate dissemination of information.

Communication

  • Interacts regularly with a wide range faculty and staff members, and conveys information on behalf of the courses.
  • Regularly handles confidential or sensitive information, exercises discretion concerning its disposition.
  • Interprets, applies and explains office, department, and College policies and procedures.
  • Communicates respectfully with a diverse community.

General Office Support

  • Prepares a wide variety of materials such as correspondence, committee minutes and reports, handouts; proof reading to ensure accuracy.
  • Monitors the supplies and places orders as needed.
  • Answers telephones.
  • Arranges and facilitates meetings as requested by the curriculum director.
