We are seeking an Executive Administrative Assistant to support members of the Legal Department who work with the Commercial Banking business of JPMorgan Chase & Co. The position will be based in Chicago.

Commercial Banking, one of the JPMorgan Chase & Co. businesses, delivers extensive industry knowledge, local expertise and dedicated service to more than 24,000 clients, including corporations, municipalities, financial institutions and not-for-profit organizations with annual revenue generally ranging from $20 million to $2 billion and nearly 35,000 real estate investors/owners.
The duties and administrative functions will require organization, attention to detail, confidentiality, sound decision-making, independent judgment and the ability to escalate serious or unique problems as appropriate.

The successful candidate will have a high level of energy and the flexibility to work in a high-paced organization where timely execution of high-quality work product is expected. This individual will need to work well in a team environment, and represent the attorneys and paralegals he or she supports with professional courtesy and acumen.

Responsibilities:

• Maintain complex and detailed calendars, including coordinating with multiple parties across geographies and time zones
• Answer and place calls while using caution in dispensing information
• Coordinate the logistics of both internal and external meetings and events
• Produce clear and concise emails and messages to individuals at all levels of the organization
• Arrange and coordinate travel. Serve as subject matter expert for policies and procedures; ensure all policies are followed and items are processed within provided guidelines
• Process invoices and T&E expense claims for attorneys. Serve as subject matter expert for policies and procedures; ensure all policies are followed and items are processed within provided guidelines
• Assist in creating and editing Excel spreadsheets
• Assist in creating and editing PowerPoint presentations, including by use of firm-approved templates
• Assist with organizing emails and documents within a document management system, including coordinating between Microsoft Office, Adobe, and the document management system
• Post and update materials on the Commercial Banking Legal internal website
• Print materials for attorneys and prepare files or binders as requested
• Assist with staff onboarding and off boarding (e.g., requesting equipment setup and system access)
• Maintain current organizational charts and Executive Bios for the attorneys
• Handle regular activities without prompting, and advise in advance with issues or delays
• Work cooperatively with administrative assistants team, in positive partnership to back each other up smoothly
• Lead and coordinate on ad hoc projects as requested


  • At least 5 years experience as an administrative assistant or similar role at a large and complex organization
    • Strong oral and written communication skills
    • Strong interpersonal and organization skills, with the ability to support multiple lawyers and paralegals, and prioritize competing requests
    • Strong proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
    • Willingness and ability to learn new skills, including new technologies and systems
    • Ability to use discretion and safeguard confidential information
