Overview

Manages and implements processes and systems for all aspects of WWF's foundation relations fundraising program, including grants processing, stewardship, information tracking and project management. Manages the process for directing grants throughout the organization, and ensures timely acknowledgement of all grants. Tracks all foundation revenues. Conducts research for donor cultivations and briefing memos as requested by the team. Supports the editing of reports and the coordination of grant proposal attachments as requested. Provides administrative support, as needed.



Responsibilities

  • Creates and maintains Pawprint/Constituent Relationship Management (CRM) database records on all foundation donors and prospects to reflect recent activity/interactions, new addresses/contact information, etc. Maintains the master deadline calendar and other trackers in CRM for foundation meetings, reports, proposals, LOIs, concept papers, briefing memos, and donor cultivation steps. Ensures that all records, deadlines, notes and other key information are accurate and up to date. Works to reconcile CRM with other tracking systems as needed. Serves as point person on all CRM issues, and, at the direction of the supervisor, represents unit's needs as principal liaison with IT, CRM, and Finance team staff.
  • Manages the grant agreement signature process, as well as acknowledgements and the revenue allocation process, including the multi-step grant award memo process and writing or coordinating the writing of all acknowledgments to donors on a timely basis. Includes working with Finance & Accounting, membership/Fundraising Operations, and program staff on processing and allocating revenue, and collaborating with other foundation relations and program staff to coordinate and/or draft appropriate thank you letters and pledge payment acknowledgement letters.
  • Assists in annual budgeting/revenue projections process on a routine and timely basis. Helps track fundraising revenue performance and team activity throughout the year, including producing and ensuring accuracy in monthly reports for Directors, and periodic reports for the Board of Directors and Senior VP Development as well as year-end reporting.
  • Performs general office duties as needed, for scheduling, processing expense reports and reimbursements, data entry, travel arrangements, coordinating mailings, producing and distributing various materials, maintaining frequently used information (tax, 501c3, financial, organizational history, etc.) and maintaining electronic and paper files.
  • Supports foundation team members in compiling briefing memos for meetings with donors, doing research as requested on foundations, and proofreading proposals and reports.

Position requires a minimum of two years of experience in a development or non-profit setting or equivalent international experience. </span></li> <li><span style="font-family: 'Times New Roman',serif;">Graduate degree, international experience, and language skills are a plus.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Must be detail-oriented, flexible, and have the ability to multi-task effectively.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Proven ability to manage systems, set priorities, and work within deadlines.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Strong proficiency in Microsoft Word and Excel required, as is experience with database management.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Strong writing, editing, proofreading, and organizational skills required.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Strong attention to detail.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Knowledge of conservation or international development issues preferred.</span></li> <li><span style="font-family: 'Times New Roman',serif;">Experience in use of development database or CRM system preferred.</span></li> </ul><p>PI113417216</p>
