Commercial Banking (CB) serves more than 30,000 clients, including corporations, municipalities, financial institutions, and not-for-profit entities with annual revenues generally ranging from $20 million to $2 billion. The Firm's broad platform positions the Commercial Bank to deliver extensive product capabilities - lending, treasury services, investment banking, and asset management - to meet our clients' domestic and international financial needs.  CB Client On-boarding (CBCO) is responsible for driving and coordinating all aspects of client on-boarding experience, which includes account opening, set-up of cash management products and services. 


The ideal Executive Assistant candidate will be experienced in handling a wide range of administrative and executive support-related tasks and work independently with little supervision. They will be a strong partner to the team that they support as well as the broader Admin group. They must be a highly resourceful professional team-player, who has a strong partner mentality and is comfortable working in a fast-paced environment while remaining flexible, proactive, and efficient.  Sound judgment in a variety of situations and maintaining confidentiality are critical.  They will have strong administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


Core Responsibilities:

  • Manage daily operations as assigned; exhibit ownership in managing extremely active calendars of appointments
  • Monitor and respond to incoming correspondence and phone calls while maintaining discretion and confidentiality

  • Effectively manage internal and external related activities such as meetings and communications with a high degree of professionalism, accuracy and confidentiality

  • Coordinate logistics for meetings, events and offsite conferences; assist with preparation of  presentations and other materials, ensure catering and transportation are completed

  • Reconcile expenses; processing invoices and Travel & Expense claims while adhering to guidelines and arrange multifaceted domestic and international travel

  • Communicate with management and resolve conflict through broad decision making

  • Communicate professionally with individuals at all levels of the organization verbally and through high quality, concise emails

  • Build and maintain strong relationships with key partners such as other administrative assistants while creating a collaborative environment

  • Update/edit Excel or PowerPoint presentations, including printing and binding, as requested

  • Lead, coordinate and execute on internal ad hoc projects, as requested

  • Manage sensitive data policy requirements and required reporting for team (including Smart Access and Sensitive Data Reviews, iComply, Travel Tax )

  • Assist with staff onboarding and off boarding working closely with our OMs to complete workstation setup, floor monitoring /space assignments \

  • Ensure time away is managed proactively and backup support is secured.  Provide backup support for executives, working closely with executives’ assistants to ensure seamless coverage

Required Qualifications:

  • Ability to lead and influence without having positional authority

  • Strong team-orientation, interpersonal skills and proven ability to develop strong client relationships

  • Excellent written and verbal communication skills

  • Strong proficiency with Microsoft Project, PowerPoint and Excel

  • Exceptional interpersonal skills. Enthusiastic, self-motivated, calm and effective under pressure; highly collaborative and team oriented

  • Functions independently and take end to end ownership of projects; strong time management

  • Strong analytical and problem solving skills and ability to provide creative solutions

  • Able to function in a fast paced environment; can adeptly handle ambiguity

  • Forward thinking and demonstrates confidentiality and strong judgment in all types of situations

  • Strong time management and attention to detail

  • Flexibility for overtime, depending on the workload

Preferred Qualifications:

  • Bachelor’s degree preferred

  • Minimum 5 years senior executive administrative experience (3 years with high level ED (Executive Director) or MD (Managing Director )/SVP (Senior Vice President) preferred
