Position Purpose

The position exists to assist two Senior Associate Directors in the proactive management of leadership giving efforts focused on alumni, parents, and friends of Dartmouth College. Contributes to donor-focused, team-based structures through interaction with Leadership Giving's Donor Relations Officers, Development Research, and other offices in Development to support prospect relationships and management.

Minimum Experience
  • Three plus years of office experience in related field, preferably in an academic setting.

  • Associates degree or the equivalent combination of education and experience.

Key Accountabilities
Key Accountabilities

General Office Support
•Serves as a liaison between College employees, alumni, students and those outside the College.
•Tracks, responds and follows through to all mail, telephone and personal contacts. Provides guidance, gives detailed information, and answers questions thoughtfully and thoroughly.
•Serves as a key partner with directors and donor relations officers for comprehensive travel preparation and planning, including itineraries and briefing materials.

Donor Focused Activities
•Actively assists Senior Associate Directors and Donor Relations Officers in organizing occasional special events, mailing the invitations, coordinating the logistics (including the tracking of budgets and expenses) with internal or external services, etc. Coordinates activities relating to parent and alumni visits to campus.
•In partnership with the Senior Associate Directors and Donor Relations Officers, engages in the cultivation of top alumni, parents and friends of the College. Performs special services for leadership donors, such as responding to information requests, arranging special appointments and presentations, etc.
•Transmits gifts from donors and/or verbal or written gift commitments to the Gift Recording Office.

Communication
•Secures pertinent information regarding correspondence from a number of sources and composes replies for own or supervisor's signature.
•Prepares correspondence, manuscripts, reports and other materials. Responsible for proofreading for accuracy and makes editorial changes.

Information Management
•Researches, collects, organizes, and summarizes data for use in reports, budgets, meetings, etc. Assumes responsibility for handling ongoing projects independently. Responds to Senior Associate Director's need for data, both internal and external, including complex database searches and report generation.
•As the central information manager for electronic and paper files, maintains and updates a variety of highly confidential records and files.
•Monitors filing systems, often complex, to insure proper distribution and coordination of information, particularly with the Dartmouth College Fund, Gift Planning and Research.
•Uses judgment regarding the disclosure of confidential or sensitive information.
