The Program Manager assists the Dean in providing outstanding program support for the programs offered at the American College of Traditional Chinese Medicine. The Program Manager provides comprehensive administrative, financial, and technological support and event management for all academic programs at ACTCM. This position supervises student workers.

Essential Duties and Responsibilities:

ADMINISTRATIVE SUPPORT

  • Provide administrative and clerical support for Dean.
  • Process new student applications for faculty review and set up an interview schedules
  • Attend department meetings, record and distribute/post minutes
  • Maintain consistent communication with core and adjunct faculty regarding program information, requests, deadlines, responsibilities, etc.
  • Ensure that publications are prepared accurately and timely (i.e., University academic catalog, student handbook, adjunct faculty handbook)
  • Manage all Zoom and OWL information sessions.
  • Maintain community calendar
  • Provide support to the ACTCM Academic Support Administrator.
  • Organize and provide support for the ACTCM staff meetings and the Student Success and Retention Committee.
  • Responsibility for and oversight of the ACTCM newsletter.

STUDENT COMMUNICATIONS

  • Maintain consistent and effective communication with newly enrolled and prospective students.
  • Communicate with the students through email announcements and regular newsletters.
  • Receive student questions, concerns and suggestions; refer students to the other offices as appropriate.
  • Support the Peer Mentor Program.
  • Maintain consistent communication with the ACTCM Student Council.

BUDGETARY/FINANCIAL COORDINATION

  • Monitor and track school/project expenditures to ensure adequate funding throughout the year.
  • Assist the Dean in the development of yearly school-wide budgets.
  • Receive and organize receipts for reimbursements, initiate check requests, process travel expense forms and invoices, and reconcile statements. Monitor receipts and maintains accurate records.

GENERAL ADVISING

  • Maintain consistent and effective communication with newly enrolled and prospective students utilizing various modes of technology.
  • Coordinate with the Registrar's Office to stay informed of important information or general announcements that need to be relayed to students.
  • Collaborate with the ACTCM Academic Advisor and Academic Support Administrator to support successful student progress through the programs.
  • Connect students to academic and student support services as needed.

EVENT/PROJECT COORDINATION & PROGRAMMING

  • Plan and execute new student orientations.
  • Collaborate with Admissions Department to organize and produce Open House events.
  • Collaborate with faculty to organize ACTCM pinning ceremony; collaborate with Student Services on the university commencement ceremony.
  • Organize and execute extra-curricular presentations (Brown Bags) and other events.
  • Plan and coordinate Town Hall meetings for the ACTCM Community.
  • Coordinate and support school-related events (lectures, symposia, workshops, alumni events, holiday celebrations)
  • Coordinate the promotion of programs and events to increase student and community participation. This includes promotional plans, creating marketing materials and media and coordinating the production and distribution of materials.
  • Track and monitor project budgets.
  • Monitor project progress and provide timeline and projection reports for senior staff as requested.
  • Coordinates various social media platforms and electronic communications to promote a greater audience.

WEBSITE/TECHNOLOGY

  • Collaborates with the Communications department on the website design for ACTCM and provides ongoing maintenance and updates on program pages.
  • Monitor ACTCM web presence. Ensure that web pages are working effectively and monitor new features, changes, marketing campaigns and programs to ensure that marketing objectives are met.
  • Develop and maintain program spaces on Canvas.
  • Produce, edit, update and post online content in a content management system, various social media outlets, and other systems.


Job Requirements:

EXPERIENCE AND EDUCATION

  • Bachelor's degree with a minimum of two years of experience working in higher education required.
  • Excellent ability to operate computer systems (Microsoft Office Suite and database experience) and willingness and capability to learn online education platforms.
  • Demonstrated ability to use software for creating and maintain web pages
  • Highly organized and attentive to detail, and able to meet deadlines
  • Willingness to work evenings and weekends, as needed
  • Able to multitask, set priorities, work collaboratively, as well as independently and take initiative
  • Excellent writing, communication, and interpersonal skills
  • Ability to interact with faculty, students, staff and public with diplomacy and to interact with people of diverse backgrounds Well-organized, attentive to detail, and able to meet deadlines.
