Position Purpose

To support the Registrar by managing complex calendaring and scheduling with accuracy, while exhibiting good judgement, confidentiality, and discretion. To set priorities, meet deadlines and respond to changes in priorities while multitasking and working efficiently and effectively. To communicate with tact, diplomacy, and sensitivity to the diverse individuals served by the Office.
To work as part of an operations team supporting students and faculty. To provide a vital communication link between the Registrar's office, the Faculty Committee on Instruction, and the Dartmouth community. To manage Student Information System processes so that data is recorded correctly, timelines are met, and that academic information is disseminated in an accurate, professional and timely manner to all constituencies. To show initiative while exercising good judgment. To directly supervise student employees

Key Accountabilities

Key Accountabilities

Specialty Area - 65%

  • Manages the schedule, committee coordination, and travel arrangements for the Registrar
  • Manages student petitions to the Registrar and informs students and Faculty of decisions and appeal procedures
  • Office liaison with staff in multiple administrative offices such as Student Accessibility Services and the Guarini Institute in support of office procedures
  • Supports the Faculty Committee on Instruction ( COI ) by attending their bi-weekly meetings and taking minutes, managing their course approval database, posting agendas, minutes and notes on SharePoint, and providing administrative support to the Registrar and Chair of the Committee
  • Provides administrative support to the Committee on Withdrawals ( COW ) including coordination with multiple offices, health providers, students and Faculty
  • Coordinates and manages student enrollment pattern (D-plan) changes
  • Assists in the review of the department budget for accuracy and reconciles credit card statements
  • Liaison to the Finance Center for reimbursements, payments, and questions
  • Manages the grade collection processes
  • Liaison with other offices with regard to student issues such as high school and community special student registration, and students with disabilities who require reduced course loads
  • Assists with projects and special requests as assigned by the Registrar and/or other senior department leadership
  • Partners with Associate Registrar for Operations and Project Management to oversee and coordinate work of service specialists as a resource, and acts in that capacity to manage projects, oversee procedure documentation, and coordinate cross-training as needed

Team Responsibilities - 30%

  • Manages a variety of student information system processes
  • Responds to student, faculty, staff, and general inquires
  • Resolves routine records and registration issues
  • Provides general staff and office support
  • Participates in business process re-engineering
  • Cross-trains with other members of the operations team and provides back-up support when required
  • Provides high-level professional service to the Dartmouth Community, with a primary focus on students and faculty
  • Uses good judgement in interpretation of policy, rules, and procedures.
  • Always maintains sensitivity to issues of inclusiveness and diversity

Performs other duties as assigned. - 5%
