Supervisor, Campus Business Office - North Campus

Responsibilities:
  • Hire, manage, coach and develop business office staff including evaluations for full time staff.
  • Monitor petty cash transactions and drawers. Verify change orders received via courier. Monitor petty cash checked out to other departments. Order cash as needed for petty cash, cashier drawers and stipend disbursements. Maintain log of courier services.
  • Run critical, time sensitive processes and reports related to campus business office operations.
  • Coordinate all campus business offices processes and procedures, streamline any procedures as needed and update procedures.
  • Settle campus and web credit cards, checks and debit cards.
  • Run monthly Bank Mobile reports.
  • Ad hoc reports as required by Campus Business Office Manager.
  • Coordinate fiscal registration activities for campus business offices with the Campus Business Office Manager.
  • Manage campus business office employees' schedules and verify timesheets (including schedules and timesheets for temporary help during registration).
  • Maintain and release student checks, maintain and release p-cards and monitor and record Sam's Card.
  • Prioritize situations, solve problems, and make decisions.
  • Review all cashiering functions related to processing short-term loans, balancing deposits, closing and finalizing cashier sessions, running cashier reports, and reviewing cashier audit sheets.
  • Assist students and employees with business office related inquiries and BankMobile questions.
  • Support staff with any third party and exemption billings.
  • Review student accounts to authorize the release of holds or determine if holds are needed on student accounts.
  • Create, review requisitions and purchase orders, order and receive items from vendors, and process invoices.
  • Assist other campus business office staff as needed.
  • Other Duties as assigned.

  • Ability to work on many projects at once and be able to complete all tasks accurately and meet each project's respective deadline.
  • 10 key by touch.
  • Type 40 wpm.
  • Knowledge of modern office practices, procedures and equipment.
  • Knowledge of computer accounting methods, data processing practices and procedures.
  • Ability to exercise good judgment in evaluating situations and making decisions.
  • Ability to give oral and written instructions to subordinates and to direct the flow of considerable volume of detailed work.
  • Ability to learn quickly.
  • Ability to prioritize and work independently with minimal supervision.
  • Ability to produce high quality work output.
  • Ability to work beyond scheduled hours when required with limits to vacation scheduling due to registration and payment deadline dates.
  • Skills in proofreading.
  • Ability to complete work that is precise and includes few or no errors.
  • Ability to safeguard sensitive or confidential information.
  • Ability to make rapid, accurate scanning movements with the eyes.
  • Ability to listen actively and demonstrate understanding.
  • Ability to adhere to College values.
  • Ability to cashier and handle up to 40k in cash, checks and credit card transactions.

Required Education/Experience:
  • Associates of Applied Science in Accounting or related field
  • Bachelor's degree may be considered in lieu of two years of experience.
  • Three years general computerized accounting experience, cash handling and Supervisory experience.
  • For current College employees minimum 3 years' experience in the Campus or District Business Office, Financial Aid Office, or Enrollment Services Offices may be considered in lieu of Supervisory experience

Preferred Education/Experience:
  • Experience with Ellucian - Banner Software, TouchNet and BankMobile software. Bilingual.

Additional Information:
  • The duties of this position require a physical presence at the on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.
