This position provides administrative support to the EVP, Chief Human Resources Officer and EVP, Chief Finance Officer to ensure efficiency and effectiveness of the day-to-day schedules and operation of the departments. Primary responsibilities include managing calendars, expenses reports, edits and assists in preparation of all correspondences. Coordinates travel arrangements and schedule. Procures office equipment & supplies while adhering to budgeting guidelines. Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, Presidents, Senior Vice Presidents and Chiefs. Handles confidential and non-routine information and explains policies when necessary. Sorts mail. Screens incoming calls. Establishes and maintains extensive filing system.


  • Must demonstrate proficiency in administrative and office procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through three-plus years related experience.
  • Must be able to streamline work methods and processes to eliminate inefficiencies.
  • Must demonstrate proficiency in a variety of computer software applications in word processing, spreadsheets, databases and presentation software including Microsoft Office.
  • Must meet the minimum typing requirement of 60 wpm.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must have analytical ability in order to summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Must give continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Must manage time effectively in order to respond to customers quickly and accurately.
  • Must effectively create and use written material, and be at ease working with senior staff members.
  • Must have manual dexterity and visual acuity to operate office equipment.
  • Must be able to travel and work irregular hours


  • Must have a High School Diploma or equivalent.
  • Significant professional secretarial and/or administrative experience working in a fast-paced office environment.
  • Proficiency in MS Office, including use of MS Excel, PowerPoint, and Word.
  • Demonstrated strong verbal and written communication skills.
  • Must have a high level of interpersonal skills to handle sensitive and confidential material and situations.


  • 7 years of relevant experience preferred
  • Preferan advanced degree in business or transportation-related field.
  • Advanced secretarial education.
  • Several years of secretarial experience working for a high-level executive.


  • Working Conditions: works long hours and constantly works in a fast-paced, time-sensitive environment with frequently changing priorities. Frequently handles multiple projects simultaneously.
