JOB SUMMARY:

To promote the mission of PATH to help individuals achieve a more independent and fulfilling life by being an effective team member. Provide support services for Residential programs.

QUALIFICATIONS:

High School Diploma/GED, or Associates in related disciplined; Experience with ADP software; Excellent computer skills required in Microsoft Office, including Excel, Word and Microsoft Outlook; Excellent writing and analytical skills required. Attention to detail. Ability to work in a fast paced environment.


SPECIFIC DUTIES:

1. Contact staff to ensure coverage for vacant shifts and call-out for the Community Living Arrangements Program.

2. Maintain a list of staff who are willing to do extra shifts in the event of a call out.

3. Schedule, reschedule and enter residential shifts into ADP scheduling software.

4. Input base schedules for newly hired employees and transfers between employee positions.

5. Update schedules to reflect employee leave and input coverage shifts for absences.

6. Schedule site meetings and trainings in ADP related issues in coordination with site supervisors or Assistant CLA Directors as necessary.

7. Update site schedules to reflect changes in the needs of the residents based on CLA procedures.

8. Provide orientation and training to new ADP users, especially residential supervisors in how to effectively use ADP.

9. Run ADP reports for use to monitor the ADP system and provide documentation to residential administrative staff to monitor expenses.

10. Identify and analyze trends of coverage issues and scheduling conflicts to streamline the procedures of how the ADP system is utilized by staff.

11. Rollout schedules in ADP biweekly and make modifications as the need arises.

12. Verify and assist in maintaining staff contacts information and training credentials.

13. Provide assistance to supervisors in completing timecards in the ADP payroll system to ensure proper pay for all ID staff.

14. Collaborate with the Fiscal Department to create and maintain processes that ensure that staffs hours worked are vetted and correctly inputted in ADP.

15. Collaborate with the Human Resources Department for completion of staff profiles in multiple systems to ensure their ability to use all functions of the time keeping and scheduling software.

16. Collaborate with the Human Resources Department so that suspensions and terminations are addressed in the ADP system and communicated to all relevant supervisory staff in the CLA Department.

17. Complete correspondence, generate reports, and create forms, etc. for assigned ID programs.

18. Complete reminder phone calls and emails as assigned.

19. Produce and organize proof of staffing/shift coverage documentation for reviews by the State of Pennsylvania.

20. Collect and organize transmittals for quick retrieval.

21. Use transmittal tracker to track transmittals through submission to completion status.

22. Provide coverage for the front desk as back-up to secretarial staff.
