Program Assistant (Temporary Grant-Funded) - District Office

FUNCTION: Coordinate all aspects of HEERF grants with Program Director to ensure deliverables of multiple HEERF grants are met, funds are fully expended, and required reporting is completed.

Essential Job Functions:
  • In collaboration with internal subrecipient staff, coordinate the completion of multiple grant deliverables.
  • Review and verify payroll documents and invoices related to the HEERF grants.
  • Monitor funds allocation and expenditures for Program Director. Track data reports as needed.
  • Create and maintain electronic records/files supportive of the project for reporting, tracking and audit compliance.
  • Prepare draft of weekly and monthly program reports for Program Director.
  • Prepare and document procedures for grant implementation including coordination and processes specific to the projects.
  • Research and document new project ideas and best practices.
  • Maintain records of HEERF grant request forms. Other grant-related duties as assigned.

Additional Job Functions:
  • Process requisitions, and invoice requests. Create and provide ad hoc data and narrative reports as required.
  • Work with OGM to obtain and review financial reports as needed.
  • Perform research of grant requirements.

Required Education:
  • Associate's degree in social science, business, or field of grant project or related area

Preferred Education:
  • Bachelor's degree

Required Experience:
  • 2 years of experience in any 3 of the following duties - scheduling, planning, logistics coordination, budget management, training and development, or reporting
  • 3 years of experience in, verbal and written communication in an office environment writing business-related communications.
  • 3 years of customer service experience.
  • Intermediate or higher Microsoft Office Suite skills (formulas, formatting etc.)

Preferred Experience:
  • Five years of administrative tasks including but not limited to grant accounting, contract implementation, budgets, compliance with external funding agency contracts and guidelines.

Note: Grant-funded positions are contingent on the continuation and the availability of grant funds.

The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.

Salary Grade: 16

Salary is based on the Board-approved salary schedule for the current fiscal year. See Salary Schedule
