Manager, Financial Aid Services - Central Campus

Essential Job Functions:
  • Interview, select, train, supervise, and evaluate a diverse team through the performance management system. Make appropriate staffing recommendations in accordance with college policies and procedures.
  • Supervise, coordinate, and direct team members working with students and parents seeking financial aid including providing financial aid advising, information on how to navigate the financial aid system, education concerning student loan repayment, default prevention and good personal financial habits.
  • Develop programs that help educate current and prospective students and their families about what is available, how to apply, and who might be eligible
  • Coordinate student employment through the Federal Work-Study program. Oversee the FWS program by coordinating positions between various departments and students, monitoring payroll, and managing federal employment documents.
  • Conduct and/or participate in the financial aid suspension appeal process.
  • Coordinate and direct the activities of the office, manage the budget, approve payroll, maintain office schedules, and monitor customer service.
  • Collaborate with counterparts and the manager, financial aid systems and processing, as well as student services leadership to ensure consistent and uniform application of all functions, processes, and services within financial aid across the College. Identifies areas in need of improvement and makes recommendations.
  • Handle student complaints, resolve grievances in order to maintain student satisfaction and program integrity. Researches and resolves more difficult and complex student complaints and issues. Determines how to best resolve the issue and follow through to conclusion.
  • Use professional judgment in the review of reconsideration requests, such as Special Circumstances and/or Dependency Overrides and Financial Aid Appeals that may adjust awards and aid based on this judgment.

Additional Job Functions:
  • Assist with identifying training needs and working with the SJC Financial Aid Services Office to implement training activities.
  • Serve on college committees as required.
  • Facilitate timely, professional communication and problem resolution strategies with students.
  • Consult and collaborate with the Dean of Financial Services to plan, implement, and evaluate the plans and services of the campus through data analysis. Submit monthly and annual written reports including professional improvement and growth activities.
  • Represent SJC with outside educational institutions, internal departments, and professional organizations. Serve as department liaison and on campus/college committees as requested.
  • Monitor and record the numbers of students using childcare assistance. Communicate effectively about the availability of childcare assistance to prospective and current students, their families, high school and community college counselors and staff.
  • Regularly attends seminars and monitors publications on the Federal Family Education Loan Program, to keep abreast of federal regulations and guidelines governing the student loan program, including but not limited to federal calculations of student loan limits per academic school year.

Knowledge, Skills and Abilities:
  • Demonstrate a comprehensive knowledge of current financial aid regulations.
  • Knowledge in college enrollment services policies and procedures, degree and certificate programs offered
  • Team-oriented with the ability to work well with other staff and faculty members in the development and administration of programs within financial aid as well as throughout the college.
  • Excellent oral & written communication, interpersonal, organizational and presentation skills.
  • Possess personal computer literacy and knowledge of student database systems.
  • Ability to safeguard sensitive and/or confidential information from intentional or unintentional disclosure. Understand and communicate the institution's interpretation of FERPA.
  • Ability to meet deadlines for assigned reports and projects.
  • Ability to interview, select, train, supervise, and evaluate a diverse population of personnel.
  • Ability to provide feedback, support, and encouragement to staff members.
  • Strong interpersonal skills to support effective interaction with students, parents, faculty, staff, administrators and the general public.
  • Must have the ability to devise and/or adapt procedures/policies to changing organizational needs.
  • Ability to manage numerous tasks simultaneously as well as develop new projects and programs with little supervision.
  • Must be able to anticipate problems and take appropriate action to meet needs or prevent problems from occurring, as well as organize, direct and coordinate functions and tasks within a limited timeframe.

Required Education:
  • Bachelor's degree

Preferred Education:
  • Master's degree

Required Experience:
  • 3 years of financial aid experience
  • 2 years of proven managerial experience

Preferred Experience:
  • Experience in managing the Ellucian Banner Financial Aid Module
  • 5 years of financial aid experience

Salary Grade: 25
