Human Resources and Benefits Coordinator

Under the direction of the Human Resources Management Team, the HR and Benefits Coordinator is responsible for day-to-day operations in the areas of general human resources operations and employee benefits programs. This position is expected to work in-office Monday to Friday to begin, and can transition to a hybrid remote/in-office schedule after demonstrating proficiency in the responsibilities below:

Responsibilities related to general Human Resources:

  • Create and maintain employee resources information on the HR department intranet
  • Respond to employment verification requests and claims for unemployment insurance and worker's compensation; prepare necessary forms in compliance with laws (Federal/State) and regulations
  • Submit invoices, check requests and expenses for Human Resources department
  • Distribute annual Workers Compensation postings to all Firm offices
  • Manage Firm's gift programs (new baby, holiday gifts, etc.)
  • Maintain the files in the DMS system related to Human Resources

Responsibilities related to Benefits:

Assist in the administration of employee benefits programs, including group health, flexible spending accounts, dental and vision, accident and disability, life insurance, and retirement plan specifically including the following:

  • Responding to inquiries and requests involving employee benefits
  • Conducting benefits orientations and explaining benefits self-enrollment system
  • Ordering replacement benefit ID cards
  • Health Savings Accounts Administration
  • Tracking and managing requests for leaves of absence in compliance with applicable Firm procedures, laws (Federal/State), and regulations
  • Annual Retirement Plan audit responses
  • Responding to requests for Evidence of Insurability
  • Processing of payments for benefit providers, vendors, invoices, and reconciliation
  • Preparing communication pieces for Open Enrollment and New Hires
  • Preparing conversion letters for participants who have a change in benefits eligibility status
  • Tracking and managing rewards for Employee service anniversaries
  • Tracking and managing referral bonuses

Requirements and Qualifications:

  • Bachelor's Degree in Human Resources or related field required
  • At least 3-5 years of hands-on experience working in Human Resources and Benefits administration within a law firm
  • Experience working with HRMS/HRIS & Payroll software required (Experience with Paylocity a plus)
  • Extensive knowledge of employee benefits and applicable laws with a proven understanding of the core aspects of Human Resources operations
  • Proficiency with Microsoft Excel required, with a working knowledge and competency with Microsoft Office Suite (Word, Outlook, Power Point); Document Managing System (DMS) experience a plus
  • A high degree of accuracy and strong attention to detail in creating work products like spreadsheets and presentations
  • Must exercise good judgment and complete confidentiality in all matters
  • Strong verbal and written communication skills and ability to effectively present information to all levels of the organization
  • Excellent customer service skills working with internal and external customers, with the appropriate tact and commitment to the highest ethical standards
  • Ability to remain flexible and thrive in a changing environment with shifting roles, deadlines, and priorities
  • Demonstrated ability to work independently and as part of a team
