The Director of Finance plans and directs all aspects of financial, accounting, purchasing, and internal control functions for the venue by performing the following duties, personally or through subordinate supervisors. The Director of Finance directly supervises the Finance Department and Human Resources employees and carries out supervisory responsibilities in accordance with Spectra's policies and applicable laws. Other responsibilities include overseeing the interviewing, hiring of fulltime employees; planning, assigning, and directing work; performance appraisals; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

This position is located at the Santa Clara Convention Center, which is an award-winning convention center, recognized as one of the top convention centers in the Western United States. Managed by Spectra, the 302,000 sq. ft. complex features 31 breakout rooms, three ballrooms, and nearly 100,000 sq. ft. of column-free exhibit space as well as a 607-seat theater. The Center's Mission City Ballroom can be used in multiple configurations for a variety of meetings or events. The Convention Center is surrounded by nearly 4,000 hotel rooms and is just steps away from California's Great America theme park and Levi's Stadium, home of the San Francisco 49ers.



Responsibilities

  • Assists in the development and implementation of facility goals and priorities relating to financial management, budget, accounting, purchasing, and/or payroll in compliance with State and Federal law, and policies and procedures.
  • Analyzes financial performance and cost analyses for all departments; prepares accurate monthly financial statements, recommends appropriate actions/changes to meet business goals.
  • Provide financial information regarding the company's activities to enhance management decision making (monthly forecast and annual budget).
  • Monitors compliance with all provisions of the management contract and meets all required deadlines outlined therein.
  • Produces and implements policies and procedures in accordance with generally accepted accounting principles (GAAP) for the Financial Department.
  • Collaborate with the City's Finance Department, venue Contract Administrator and all other partners of the SCCC on financial matters and reporting.
  • Review and approve all ADP reports prior to processing payroll in ADP.
  • Compile and analyze payroll information to transmit bi-weekly payroll and process ACCE 401K & Teamster 401K Plan activity.
  • Manage the Concentrics system (facility event booking system), such as making changes to the chart of accounts.
  • Maintains contact with Risk Management Department and Insurance broker for coordination of appropriate coverage.
  • Reviews all contracts for client, events, subcontractors, food and beverage or concessionaires.
  • Reviews and/or prepares event settlements.
  • Reviews and executes all checks and deposits, reviews daily cash receipts and disbursements.
  • Oversee box office, ticket sale receipts and reporting when applicable.
  • Reviews and approves all subcontractors third-party accounting for food and beverage, audio visual and IT.
  • Assist with show settlement including payments to promoters, compile all post-show financial info to enter into GL, prepare show income/loss reports, when applicable.
  • Oversee payroll and HR functions in the venue.
  • Prepare appropriate state and local tax returns to be filed timely
  • Prepares financial statements for the Client and Corporate, and other financial reports, including monthly statements, Annual Budget, and Annual Report.
  • Directs the installation and maintenance of accounting records to show receipts and expenditures.
  • Directs the maintenance of general and subsidiary ledgers, accounts receivable, revenue distribution, depreciation, cost, property, and operating expenses, and insurance records.
  • Prepares statements and reports of estimated future costs and revenues.
  • Coordinates preparation of Client or external audit materials and financial reporting; implements recommendations of Client as requested.
  • Participate and prepare special projects as assigned.



Qualifications

  • BS. in Accounting or Finance from a four-year college or university.
  • 5 to 7 years of experience in public accounting and/or financial management at a supervisory level or as department head.
  • Acts as Manager on Duty as required. Must work nights and weekends if required.
  • Be a business partner with other departments ensuring financial success of the venue.
  • Extensive knowledge of general and cost accounting.
  • Extensive knowledge of GAAP.
  • Excellent math skills; high aptitude for figures.
  • Excellent communication, interpersonal skills, and the ability to effectively and professionally present information in small group situations to customers, clients, and employees of the organization.
  • Excellent organizational ability and skills.
  • Effective supervisory skills.
  • Must pass background and credit check per guidelines
  • Experience with ADP payroll, and Sage 100 accounting preferred.
  • Industry experience is preferred.
  • CPA or MBA a plus
