Coordinator, Skills Training - District Office

Primary Function: Provide front line customer service and out reach to the community regarding Continuing and Professional Development (CPD) skills training opportunities. Develops and maintains training and assessment tools.

Essential Job Functions:
  • Provides front line customer service to the general public, current students and staff, including:
  • Answering the two Texas Public Education Grant (TPEG) phone hotlines (English and Spanish) and Community Engagement (CE) hotline.
  • Assisting callers and walk-ins by answering questions and providing information regarding job training programs (stackable certificates), eligibility, application process and award status.
  • Managing TPEG and Community Engagement email accounts and calendars
  • Responding to email inquiries.
  • Placing reminder calls/emails to submit applications and/or to registered students regarding class orientations and start date.
  • Develops curriculum, modular lesson plans and if needed, delivers job readiness piece of training. Ensures training is current and up-to-date and assists instructors by providing classroom materials, and scheduling of class guest speakers.
  • Establish and administers CPD TPEG and CE enrollment processes (recruitment through graduation).
  • Develops and implements strategies to ensure that 100% of available space is filled for each TPEG class and Community Center event at all campuses.
  • Develops and executes multiple marketing plans to recruit potential participants. Works with program staff to create flyers, ads, post CE website and social media updates, maintain phone menu system. Distributes marketing material to the community. Delivers informational presentations to various groups.
  • Coordinates and conducts TPEG information and orientation sessions, CE registration sessions and assists in CE special events planning/execution. Creates agenda for these sessions prepares materials, executes logistics and communicates with participants.
  • Serves as CPD TPEG contact with Financial Aid to maintain updated CPD TPEG award spreadsheet and guide student applications through the TPEG award pipeline.
  • Serves as TPEG and CE contact to all CPD registration offices. Provides each site with copies of registration forms, monitors classroom openings, issues command to register students and apply funds.
  • Monitors student attendance for both TPEG classes and camps. Places follow-up calls and implements plan to assist participants overcome barriers and achieve successful program completion.
  • Establishes and maintains relationships with area service organizations including Texas Workforce Solutions, local school districts, Dress for Success, and other supporting associations.

Additional Job Functions:
  • Plans and executes logistics associated with CE camps at the all campuses: secures classrooms, computer and chemistry labs, closing ceremony ballrooms, ensures IT requirements are met, verifies instructor room access, prepares student materials, purchases all activity supplies, and camp food. Ensures that each CE instructor has a walk -in ready classroom complete with a weeklong supply of all materials at start of each camp.
  • Performs computer file maintenance for each instructional program:
  • Creates and/or verifies TPEG training participant schedules (to reflect correct hours and dates)
  • Creates TPEG registration form and CPD TPEG application, fact sheets, student application checklists, updated TPEG and CE email templates, CE camp registration forms, CE parental permission waivers.
  • Works with program manager and/or director to develop and administer pre-assessment screening tools to potential TPEG candidates. Scores and determines candidate feasibility for entry into training program.
  • Creates and maintains filing system to ensure training records are accurate.
  • Establishes and maintains grant status communication with training candidates, program managers, directors and CPD deans.
  • Reconciles purchase card reports and mileage expenses and submits receipt documentation.
  • Assists with state reporting compilation.


Knowledge, Skills and Abilities:
  • Bilingual (English/Spanish).
  • Ability to demonstrate the College values.

  • Excellent customer service and communication skills (written, verbal, public speaking), proficient with Microsoft Office.
  • Possess troubleshooting and problem-solving skills.
  • Ability to relate to diverse populations.
  • Effective teaching ability.
  • Knowledge of sourcing and placing training candidates.
  • Utilizes office equipment (multi-line phones, fax, copy machines).
  • Ability to coordinate special events and ensure all venues, equipment, catering, and other training requirements are scheduled and secured in effort to deliver a quality training or experience to all participants.
  • Requires ability to work well with others in a wide range of situations, cultures and personalities.
  • Superior organizational skills with high attention to detail.
  • Ability to prioritize multiple projects to meet deadlines with little supervision.
  • Able to work a flexible schedule to include evenings and weekends to meet the needs of the community.

Required Education:
  • Bachelor's degree
  • An associate degree with four years of experience working with diverse populations, job placement, career and academic advisement, recruitment or job training may be accepted in lieu of a bachelor's degree.

Required Experience:
  • One year ofexperience working with diverse populations, job placement, career and academicadvisement, recruitment or job training.

Preferred Experience:
  • Event planning
  • Training/curriculum development

Preferred Licenses/Certifications:
  • Microsoft Office Specialist

  • The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.


Salary Grade: 22
