The CIB Events team provides event management services for complex programs such as C-level client forums and investor conferences. The Event Coordinator supports Event Associates and Managers of the team with a variety of cross-functional tasks including all aspects of the meeting registration process and attendee logistics (including hotel rooming lists, transportation manifests and other reports) and coordinate production aspects of events (including name tags, place cards, signage and meeting material production). Position responsibilities include websites and attendee communications, report generation, data entry, proofreading, name badge production, client follow up. On-site coverage of events is expected where appropriate.

Responsibilities:

  • Support Event Associates and Managers with various meeting planning aspects
  • Attendee Management Field calls and e-mails from meeting attendees regarding question about the event, travel, how to register, or changes to their registration. Send invitations and other communications; follow up with invitees who have not registered.
  • Manage hotel rooming lists including changes to reservations, additions and accuracy of lists
  • Ensure accuracy of web registration data by pulling standard and custom reports and quality checking.
  • May be responsible for one or more of the following things; venue research and data compilation, name badges, tent cards, packing of travel supplies, cross check rooming lists

Qualifications:

  • Customer Service oriented
  • Strong oral and written communication skills
  • Highly organized, strong analytical skills & ability to problem solve
  • Good time management skills a necessity
  • Ability to multi-task
  • Well-rounded event industry knowledge and/or prior registration management experience plus.
  • Attention to detail and accuracy
  • Ability to deal with all levels including senior management
  • Excellent computer skills including Microsoft Office, strong emphasis on Excel

Travel to off-site locations up to 30% travel
