Administration (20%)

  • Manages, oversees and coordinates administrative functions and activities of the program including establishing internal deadlines and priorities to meet external ones. Examples include Dean of Faculty, Divisional Council, college committees and COI ; financial deadlines with payroll, accounts payable, P-Card transactions, reconciliations; event planning.
  • Interprets and applies college wide policies, ensuring department adherence.
  • With chair, develops and implement department policies and procedures, communicating such to faculty, staff, students and visitors.
  • Serves as liaison between the chairs and department faculty, college administrative offices such as the Registrar, Dean of Faculty office, college committees, other departments and programs, students and staff as well as national and international women's and gender studies programs and feminist research institutes.
  • Provides updates to the ORC , Prospectus, timetables, elective circulars, classroom scheduling and final exams, Senior Honors.
  • Completes Federal Compliance Government Space Survey every three years to assist OSP with F&A proposal.
  • Manages administrative and operational aspects of multiple programs and initiatives within the program.
  • Co-chairs the Women's Faculty Mentoring Network; collaborates with co-chairs to create and evaluate WFMN projects and activities; advises senior women faculty mentors and junior women faculty mentees; acts as the primary resource and contact person for all mentors and mentees; organizes all WFMN activities.
  • Provides administrative support for the Race, Ethnicity and Sexuality Studies consortium ( RMS ).
  • Works closely with the center for Women and Gender and is a permanent voting member of the Center for Women and Gender Advisory Board.
  • Creates, organizes and manages alumni/ae networks.
  • Provides administrative advice to student publications, Intersections, and queer.
  • Purchases supplies and equipment.

Financial/Budget Management (20%)

  • In conjunction with the chair, develops the program budget within parameters set by DOF Fiscal Office including operating accounts and endowments.
  • Develops and prepares budget reports and financial projections for the program.
  • Monitors and reconciles all accounts and advises Chair on financial issues.
  • Oversees electronic purchase orders, journal transfers, requests for reimbursements and forms for disposition of prizes, awards and research stipends.
  • Understands and applies knowledge of purchasing matrix, OASIS , Oracle and Banner systems.
  • Accountable to DOF Fiscal Office in matters related to current year budget and spending, P-card transactions/reconciliation, and adherence to college policy.

Faculty Support (15%)

  • Coordinates and organizes faculty searches, including advising search chairs and faculty on recruitment policies. Coordinates and organizes faculty searches, including advising search chairs and faculty on recruitment policies.
  • Arranges candidates' visits to include seminars, meetings with faculty, deans and students and travel arrangements.
  • Assists the Chairs in faculty appointment process and assures compliance with guidelines. Monitors for timeliness visiting and research faculty appointments, re-appointments and promotions.
  • Meets and advises prospective women faculty and administrative candidates on campus and community cultural resources for women at Dartmouth College.
  • Actively involved with the Chair in preparing the program teaching schedule and course scheduling.
  • Advises and supports faculty/chairs on start-up, Burke and faculty reserve budget accounts, including use of chart strings.
  • Collaborates with Research Grant Manager on faculty on grant application process.
  • Synchronizes Program activities and integrates programming into the curriculum.
  • Develops comparisons of the Program to similar departments nationally and internationally.

Communication (15%)

  • Serves as the primary point of contact representing the program to the institution and external constituencies, including students, visitors and community members.
  • Responds to inquiries and provides information regarding the program, its mission, policies and course offerings.
  • Monitors the academic progress of all majors and minors, communicating regularly with students about their programs and reminding them of academic and departmental requirements and deadlines.
  • Edits and distributes written and online material. In conjunction with the web designer and with faculty input, maintains and updates the department web page.
  • Provides notification/listings to events calendar, First-Year Book, Event Flyers, bulletins and Commencement Program.
  • In conjunction with the A&S Development Office, coordinates stewardship efforts including correspondence with donors, coordinates fundraising activities and "Friends" groups. Updates information on prizes and awards; provides information to the Development Office.
  • Supports the department/program mission and values. Acts appropriately in dealing with others and supports the institution's commitment to diversity.

Event Coordination (20%)

  • Responsible for the coordination/implementation of the following types of events: program meetings, lectures, workshops, conferences, symposia, guest speakers, student presentations, open houses, committee meetings, film series, alumni and social gatherings.
  • Responsible for the advertising/public relations, invitations, room, equipment, food, travel and expense management for Department/Program events.

Information Management (10%)

  • Adhering to institutional policies and procedures, maintains a comprehensive array of manual and electronic records such as inventories, budgets, majors/minors records, student information and personnel files.
  • As appropriate, determines retention and disposition for specific information not otherwise covered by institutional policies.
  • Gathers information on a wide range of issues for Women's and Gender Studies faculty focus groups and committees.
  • Directs and oversees the collection, organization, cataloguing and conservation of all departmental archival materials.
  • Oversees the Women's and Gender Studies library.
