Position Summary

The Administrative Director will provide oversight of administrative functions and resources for the daily operations of the Office of the President and will also effectively support and direct special projects for the Presidents Office. They will also serve as a resource for internal and external stakeholders in representing the Presidents office.

The ideal candidate will have a solid track record of providing high level administrative support and an ability to work with a variety of stakeholders in a positive and productive manner. An ability to exercise initiative, confidentiality, and independent judgement are also necessary for success.

The position will require frequent evening or weekend work, some of which may be completed remotely.

Essential Duties & Responsibilities
  • Manage all aspects of administrative support and project execution for the Office of the President
  • Promote a positive image of the university by greeting and receiving visitors to the President's office, responding to inquiries, providing information regarding university policies or decisions, and referring inquiries or problems to the appropriate office or person for resolution
  • Assume fiscal responsibility for the development and management of the Presidents Office budget
  • Assure confidentiality of the activities that relate to the position and the office
  • Develop and optimize processes that ensure the efficiency of the functions of the presidents office
  • Manage emergent issues and facilitate resolution of such to ensure smooth operations for the Office
  • Serve as a liaison between the presidents office and direct reports to the president
  • Schedule appointments and coordinate meetings with internal and external partners
  • Attend meetings and independently follow-up on action items and provide status updates to President and direct reports
  • Coordinate strategic planning efforts for the President, the Board, and the Senior Leadership Team
  • Participate in the development of Office goals and objectives
  • Assist in the development of Office publications/newsletters and maintain Insite and Website pages
  • Arrange travel and lodging for the President and her guests
  • Coordinate and facilitate meetings and special events such as seminars/webinars
  • Maintain inventory of supplies and equipment
  • Perform other related duties as assigned and/or delegated

Required Education & Experience
  • Bachelors degree or equivalent experience
  • Minimum 5 years of executive or senior level administrative support
  • Must achieve satisfactory results from a background check

Required Knowledge, Skills, & Abilities
  • Knowledge of office and administrative practices and principles supporting executives at a high level
  • Highly effective written and verbal communication skills
  • Proven ability to treat sensitive/confidential information with appropriate discretion
  • Strong customer service skills evidenced by actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern as appropriate
  • Demonstrated ability to work as part of a team and to interact effectively and maintain collegial relationships with administration, faculty and staff
  • Flexible, adaptable, and ability to exercise sound judgement
  • Self-starter, self-directed and excellent time management skills
  • Ability to effectively handle multiple projects simultaneously, prioritize responsibilities and handle detailed job tasks with accuracy and efficiency and meet deadlines
  • Proven problem-solving skills with ability to develop and implement process improvement plans with a drive for quality outcomes
  • Excellent organizational, planning and analytical skills
  • Editing and proofreading skills; ability to compose correspondence
  • Proficient use of computer software including spreadsheet and database development and management and familiarity with Web platforms and desktop publishing
  • Knowledge of budget processes

Preferred Qualifications
  • 7+ years experience in executive administrative support
  • Prior work experience in academic administrative setting in higher education
