The Administrative Coordinator is part of the US Government Affairs (USGA) organization and is located in Washington, DC. Basic duties include providing administrative support to senior members of the team, as well as broad-based support to the organization at-large. The candidate must be professional, motivated, detail-oriented, detailed orientated, a self-starter, and possess a high degree of integrity, as well as a strong work ethic.

Key responsibilities include:

  • Manage multiple calendars; schedule meetings (ensuring conflicts are resolved)
  • Prepare and process expense reports in compliance with all relevant policies/procedures
  • Coordinate and make travel arrangements in timely and cost-efficient manner
  • Prepare and process lobby disclosure forms in compliance with all relevant policies/procedures
  • Process and submit invoices and check requests in a timely manner
  • Copy, distribute and maintain documents for external meetings
  • Plan and execute logistics for internal and external meetings including scheduling, catering, receiving visitors, and coordinating A/V equipment needs
  • Assist with the preparation and creation of PowerPoint slides/presentations and other materials as requested
  • Perform basic research specific to Federal, State, International or Policy initiatives as requested
  • Perform basic office management functions for team including: assessing needed supplies and placing order
  • Be part of an Administrative Pool to ensure team members are supported
  • Serve as back-up for other Administrative Coordinators on team, if they are unavailable, including support for Senior Vice President and Vice President teams
  • Take-on assigned tasks as they occur
  • Support function of DC site as needed

Basic Qualifications

  • Associate's degree and 2 years of Administrative experience
  • OR
  • High school diploma/GED and 4 years of Administrative experience

Preferred Qualifications

  • Strong experience in an administrative support role supporting large teams at different levels
  • Strong working knowledge and experience in Microsoft Office: Outlook, Word, PowerPoint, Excel and Adobe Pro.
  • Hands on working experience in managing and maintaining multiple calendars including coordination across multiple time zones
  • Strong working knowledge and experience in arranging multi-destination travel for multiple travels
  • Congressional and Hill experience
  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners
  • Ability to work in a fast-paced, deadline-driven environment
  • Discretion in dealing with proprietary information
  • Ability to prioritize projects of greater urgency and importance
  • Outstanding communication skills, both oral and written
  • Excellent organizational and time-management skills
  • Excellent travel and meeting planning skills
  • Experience providing administrative support to remote staff
  • Experience working in bio-pharma industry
  • Amgen experience
  • Bachelor's degree
