The US Respiratory commercial team is looking for a skilled Administrative Coordinator (AC) to help support the team as we grow in the United States. The AC will be primarily responsible for administrative activities, supporting Executive Directors, Directors, and other staff on the team.

In this role, the Administrative Coordinator will perform a variety of complex administrative support activities ranging from calendar management to coordinating travel arrangements to managing expense reports. This position will sit within the Amgen US commercial Respiratory Business Unit. The team works at a fast pace and in a dynamic environment and is highly collaborative and collegial. Importantly, this team works in partnership with pharmaceutical organization a as part of a co-promotion. As such, this role will require extensive collaboration and communication across Amgen and external pharmaceutical organization and their cross-functional team members.

The position is responsible for the following key responsibilities:
  • Manage Executive Director and Director calendars and schedule meetings (Outlook) including across multiple time zones
  • Coordinate calendars and meeting scheduling across Amgen and partners
  • Coordinate functional processes such as invoicing & purchase orders as required
  • Coordinate local (and occasional international) travel arrangements
  • Prepare expense reports for Directors and Executive Director
  • Assist with preparation of slide presentations as needed
  • Assist with internal site management (SharePoint, Box, One Drive) as needed
  • Perform administrative duties as required - maintaining distribution, contact and personnel lists
  • Manage departmental administrative files
  • Manage and coordinate department communications in collaboration with other business unit ACs
  • Coordinate mailings and courier/deliveries
  • Manage the administrative aspects of relationships with outside experts and vendors
  • Coordinate local meetings: arrange travel, meeting arrangements, visitor accommodations
  • Organize meeting rooms, including logistics, catering and equipment needs
  • Prepare meeting agendas and take action items as required
  • Organize and facilitate large on/offsite meetings including logistics (Guest Speaker presentations and other various meetings)
  • Assist with special projects as requested by Executive Director and others within group
  • Timely Registration for conferences, congresses, seminars, and internal meetings
  • Participate in department project teams
  • Provide backup support to additional department ACs

Basic Qualifications:

Associates Degree & 2 years of Administrative experience


High school diploma/GED & 4 years of Administrative experience

Preferred Qualifications
  • Helpful, can-do attitude with a solution-oriented approach
  • Experienced and proficient with all current Amgen technologies and platforms
  • Polite and personable 'Team Player'
  • Amgen experience and 5+ years of experience in an administrative support role supporting large teams at different levels
  • Experience providing administrative support across co-promotions/collaborations a plus
  • Outstanding written, verbal and presentation skills in communicating key business and critical information
  • Advanced knowledge of MS Excel, PowerPoint, and Word (i.e. work processing, presentations, and spreadsheet skills) as well as SharePoint, SAP, and the Learning Management System at Amgen
  • Highly organized individual who enjoys problem solving and interacting with multiple cross-functional team members
  • Strategic thinker who likes to "think ahead" and anticipate solutions to logistical issues
  • Ability to work in a fast paced, deadline driven environment
  • Discretion in dealing with propriety or confidential information
  • Ability to prioritize projects of greater urgency and importance under pressure
  • Calm under pressure
