Job Description:

Amherst College invites applications for the Administrative Coordinator position. The Administrative Coordinator is a full-time, year-round position, job group and level AO-4. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the w ays in which they bring value to and will work towards supporting a broadly diverse community.
The Administrative Coordinator provides direct administrative support to the Associate Dean of Students for Diversity and Inclusion and the Resource Centers Team: ( Queer Resource Center, Multicultural Resource Center, Women's & Gender Center, Center for International Student Engagement, Center for Diversity & Student Leadership, and the Office of Religious and Spiritual Life). The Coordinator also works with the Resource Centers Team in achieving its vision and mission of equity and inclusion and student support services.

The Administrative Coordinator provides a critical role to the overall goals of the Resource Centers Team in supporting our diverse student body's intellectual, social, and cultural activities. The Administrative Coordinator supports the planning, scheduling, coordinating, and executing of the day-to-day activities of multiple departments. The Administrative Coordinator interacts with all levels of our community including faculty, staff, administrators, alumni, and the student population.

Summary of Duties and Responsibilities:
Office Management
  • Provide front-line support for the Associate Dean of Students including welcoming visitors and campus partners, answering and directing phone calls, and relaying messages
  • Resource Center Team liaison to faculty, staff, students, alumni, parents, and outside constituents, effectively communicating and interacting with a diverse community
  • Purchase and manage inventory for general office supplies for the Resource Centers Team (7 departments-RCT, MRC, QRC, WGC, CDSL, CISE, RSL)
  • Receive and distribute mail to each Center
  • Troubleshoot and maintain Resource Center equipment (computers, copiers, printers) and place service calls
  • Maintain organization and confidentiality of personnel reviews (3/6month and annual) for RCT professional team members
  • Maintain confidential documents, reports, and notes for the Chair of the Identity-Based Harm Review Team
  • Maintain files including electronic and paper
  • Recommends and implements process improvements to meet the RCT's operational and administrative needs, as well as creates documents and procedures to improve overall efficiency.
  • Manages departmental budgets-RCT (p-card and AmEx), processes all accounts payable/receivable, invoices/purchase orders, charge/credits, reconciles purchases, student and staff reimbursements, special payments, and honoraria, and provides reports to the Resource Centers Leadership Team
  • Coordinates all travel and lodging arrangements for the Associate Dean and RCT directors and, processes all reimbursements and invoices for travel/expense charges
  • Recruit, hire, train, and supervise two student staff members that support the overall work of the RCT.

Administrative Support
  • Maintains the schedules and calendars for the Associate Dean of Students and RCT Leadership Team
  • Manages all search processes for the RCT professional staff
  • Maintains the Resource Centers Team (RCT) email and collective calendars
  • Support directors in the administrative task of hiring student staff
  • Manage all hiring/change of employment paperwork for pro-staff
  • Schedule weekly departmental meetings, one-on-ones, and prepare meeting minutes
  • Serve on the Cultural Heritage Committee: Schedule meetings, take and disseminate meeting notes, etc.
  • Compile and format RCT annual reports for the Associate Dean of Students
  • Organize and set up the RCT leadership working retreats and trainings
  • Assist with the maintenance of the RCT website on the Student Affairs webpage and RCT social media platforms
  • Serve on campus-wide and Student Affairs committees and working groups as needed
  • Serve as a resource to connect students to crisis management and support services
  • Provide additional administrative support as assigned by the Associate Dean of Students

Events
  • Organize and execute the RCT's large and small events for faculty, staff, and students: including but not limited to; RCT Senior Brunch, End of Year student staff celebration, RCT Orientation Events, RCT Homecoming, and Reunion events, and the RCT student Staff Cross-Center Training
  • Assist in programmatic work of the resource centers team -event logistics including, venues, media set-up, placing food orders, etc.
  • Provides staffing support for programs and special events within the RCT and Student Affairs
  • Support the logistics and programmatic efforts of the Cultural Heritage Committee

Qualifications
Required:
  • Associate's Degree Or in lieu of degree, High School Diploma or equivalent and 5 years of related experience
  • 5 years of related experience
  • Demonstrated effectiveness in using administrative, planning, organizational, customer service, and interpersonal skills
  • Knowledge of office management systems and procedures
  • Excellent planning and time management skills including the ability to multi-task and prioritize work
  • Attention to detail
  • Strong problem-solving skills
  • Strong written and verbal communication skills including electronic communication
  • Commitment to supporting a diverse student community
  • Ability to take initiative and work independently and collaboratively with the campus community
  • Able to work in a dynamic, very active and fast-paced, and student-driven environment

Preferred:
  • Valid driver's license and successful credentialing in order to operate college vehicles specifically 7 and 12 passenger vans to transport students and staff to and from events, conferences, and trainings
  • Experience working on a college or university campus
  • An understanding of the diverse communities and salient identities that the Resource Centers Team serve
  • Experience with Workday
