Our Department of Intercollegiate Athletics, has an outstanding opportunity for a Program Support Supervisor 1.This individual will be responsible for:
1) Management: Independently manage and approve expenditures of supplies; purchasing items needed and requested for seven departments, totaling $30,000.00. Perform analysis of income and expenditure patterns of SAAS, recommending cost-saving initiatives. Independently manage operations and building maintenance of Graves Annex and Ackerley Academic Center. Manage scheduling of conference rooms and shared space within the buildings.
Direct and manage the Book Scholarship Program: a. Create and distribute quarterly book slips for approximately 300 student-athletes receiving book scholarships. b. Research and record data (i.e., individual class schedules and books required for each class). c. Maintain expenditure records. d. Coordinate with the University Bookstore to ensure proper communication and accuracy of information. e. Work directly with: 1. Student-athletes 2. University Bookstore textbook supervisor. 3. University Bookstore computer programmer and accountant. 4. Compliance Department's Financial Aid Coordinator
Act as the liaison for all needed repairs and emergencies. Such requests require direct communication with: a. Facilities personnel b. Computer support technicians c. Private companies d. Various departments throughout the university
Serve as Time and Absence Initiate for Workday payroll system for both the SAAS and Compliance departments: a. Monitor successful completion of online timesheets & leave requests b. Research, update, and record necessary data c. Partner with ICA Fiscal Administrative specialists to ensure accuracy
Coordinate retreats, conferences, luncheons, events, and classes: a. Schedule accommodations and catered food b. Reserve necessary space and equipment c. Handle, distribute, and record necessary payments d. Work with Senior Associate Athletic Director for Student Development to coordinate agendas, materials, and supplies needed for meetings.
Provide leadership in promoting a positive work environment with good working relations and open communication among all staff, students, parents, professors, and administration, along with other personnel and outside agencies.
Partner with SAAS colleagues with the hiring and management of work study students. Prioritize and distribute departmental task requests of 15 full time employees, ensuring all assignments are accomplished in a timely manner.
Administer completion of senior exit and sophomore surveys on an annual basis. a. Coordinate with Office of Educational Assessment to produce reports for Athletics and faculty committees. b. Ensure accuracy and confidentiality of student data.
2) Guidance of Student-Athletes: Provide referrals, departmental information, and informal counseling to individual students, requiring extensive knowledge of the University of Washington's programs and policies. Maintain current knowledge and apply NCAA rules. This involves studying and referring to the NCAA manual when necessary, and attending annual Rules Education programs.
3) Administrative Duties:
Record and distribute weekly staff meeting minutes and reports.
Support Senior Associate Athletic Director for Student Development with administrative tasks.
Update and maintain academic recognitions and awards displayed in facilities. a. Track and order academic awards annually. Update and maintain athletics tracking reports and databases. Assist with SAAS social media platforms and creation of content. Represent SAAS on varied department committees as requested.
Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
High school graduation or equivalent AND three years of applicable administrative/office management experience in an academic student environment OR equivalent education/experience.
Strong managerial skills. Experience with budget management. Excellent written and verbal communication skills. Ability to maintain a calm, rational approach to problem solving while working collaboratively with a diverse clientele including students, parents, coaches, outside vendors, and departmental and campus staff. Detailed knowledge of University policies and procedures and the ability to work in close conjunction with University academic and compliance staff. Ability to work independently with minimal supervision to perform the tasks of the position. Ability to multi-task effectively and complete assignments by established deadlines. Sensitivity and knowledge working with confidential student records.
Bachelor's degree Experience working in Division I Athletics program Strong knowledge of Division I NCAA rules and compliance regulations
