The International Student Services office, a unit within the Enrollment Management, supports the Provost as well as the University of Washington community. International Student Services (ISS) provides immigration and cross-cultural advising to over 7,600 undergraduate, graduate, and professional international students enrolled at the Seattle campus of the UW. The ISS also serves as a liaison to government agencies involved in international education.
We have an outstanding opportunity for a Program Assistant. Under the general supervision of the Assistant Director of International Student Services, this position will act as the first point-of-contact for students and will provide clerical, administrative, and fiscal support in a fast-paced, high-traffic environment, serving a culturally diverse population. The position will also provide general office support services to both the ISS staff and undergraduate international admissions staff.
Provide friendly and professional reception service as the first contact for students visiting ISS.
Answer a high volume of calls on a multi-line phone system and receive walk-in visitors.
Respond to inquiries regarding procedures and services from students, faculty, staff and the general public, assessing service needs and referring to appropriate ISS staff.
Provide basic information and directions to international students with general questions.
Assist ISS advisors with data entry of immigration records in the ISSM immigration software system.
Oversee the ISS office supplies and order additional items as needed or requested by staff.
Maintain front desk records and filing system, ensuring adequate supplies of forms.
Schedule appointments and meetings for ISS staff as needed.
Open and distribute the daily office mail as appropriate along with any incoming documents submitted at the front desk by students.
Monitor the will call documents and contact students to pick up forms.
Respond to email communications received by the general ISS email account and route messages to advisors where appropriate.
File and maintain materials in accordance with record retention requirements. Oversee the review, audit and preparation of materials for archiving.
Manage the eShipGlobal express mail accounts for both ISS and undergraduate international admissions. Prepare packages to be mailed, update accounts, and maintain express mail shipping supplies.
Provide general support services to the Associate Director of International Enrollment, Admission, and Services staff as needed or requested.
Monitor the ISS copy machine and request supplies or maintenance as necessary.
Provide other administrative support as needed.
High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.
Ability to work independently and with a team.
Strong organizational skills with attention to detail and initiative.
Experience working with culturally diverse students in an academic customer service environment.
Experience with Microsoft Office, including Outlook or other related software.
Strong interpersonal skills as well as excellent written and verbal skills.
Regular attendance/low absentee record.
Ability to relate positively with culturally diverse students and those with limited English language proficiency.
College education or Bachelor's degree strongly preferred.
International experience (e.g., study or living abroad, etc.).
Experience working in a university setting.
