Manage the undergraduate and graduate admissions processes requiring data and document file exchanges. Provides functional support for the university's Constituent Relationship Management (CRM) products, Enterprise Resource Planning (ERP) system, document imaging and reporting tools (e.g. Cognos). The Admissions Operations and Systems (AOS) department and this position are the functional subject matter experts for the university's admission systems and will liaise with Information Services for validating internal and external file integrations, trouble shooting, new process development, upgrades and ultimately ensuring the data and document integrity of supported systems. Reports to Director, Admissions Operations and Systems.
Characteristic Duties and Responsibilities:
Create and maintain the admissions system's master table of institution codes; ensure changes update all related CRM and imaging systems.
Responsible for the daily processing of admissions records into ERP system from all external data sources; including the timely resolution of suspended records and duplicate resolution.
Track and maintain daily exception and/or work list reports; resolve data and scanning errors and research solutions where needed.
Ensure timely processing and systematic routing of the state XML college transcripts, resolve issues and assist the Credit Transfer Office to ensure coursework loads directly to ERP system articulation tables.
Coordinates CRM data load processes supporting the Credit Transfer Offce and functions of ERP system transfer articulation.
Support the successful coordination of document management processes by ensuring the integrity of records migrated to imaging system; develop auditing procedures for required documentation of admitted students.
Under the direction of the Director, assist with administrative functions associated with the university's constituent relationship management system(s); assist with the management of system integrations with the university’s student information system, including testing and upgrades, and various third party vendors (e.g. Common Application).
Train admitting office staff on records and imaging processes within the ERP and related systems, maintain operational procedures documentation.
Assist with the validation of the admissions application checklist process.
Maintain reconciliation reports of data and document files into and out of the ERP system.
Respond to admitting office questions and be main point of contact for staff when needing research on missing documents or data files in ERP.
Assists Director with identifying issues when integrating documents and data across multiple systems.
Works with AOS Data Coordinator and Admissions Systems Specialist to develop reports and notification alerts to admitting offices.

Bachelor’s degree in computer science or related field. Three or more years of experience working with admissions, registrars or enrollment management processes or systems, including experience working with an ERP system (e.g. Ellucian’s Banner).
License/Certification: Not applicable.
Preferred Qualifications: Master's degree Experience working within a CRM environment (e.g. Salesforce, TargetX or CollegeNET) Experience with a document imaging system Capable of working within a large school, multi-campus setting having multiple populations, processes and data/systems integrations
