Description Reporting to the Executive Director of Athletics Development, this position plays a critical role in daily operations and serves as both an external point of contact for donors, alumni, parents, and fans and an internal liaison for the team with key Vanderbilt partners across campus. The position is charged with four key areas of work: stewardship and engagement of the full range of donors (capital, major, planned giving, and annual donors) who are members of the National Commodore Club (NCC); managing, planning, and execution of local and regional athletic donor events; facilitation, coordination and tracking of all major gift activities by the Athletics Development team; and full oversight of the Athletics DAR/NCC budget and resources. As part of the larger Athletics Development team, this individual routinely works events and activities requiring weekend and evening hours as well as travel. Primary responsibilities include: Major Gift Activities Coordinate research and prepare the briefings for events and appointments with donors. Responsible for coordinating travel arrangements, including all logistics. Build a travel packet to include itinerary, meeting materials, maps, and other pertinent information. Coordinate and track all major gift activities. Planning and execution of donor recognition (raised letters, signage, plaques, etc.) for major gifts made to capital projects with the Athletics Facilities/Operations and Campus Planning staff and the DAR Office of Stewardship. Stewardship and Engagement of Donors Plan and manage special stewardship opportunities for key NCC donors (Ex: travel with teams to away games, all-access experiences at home games, etc.) Oversee the gift acknowledgement process for Vice Chancellor/Athletics Director, Executive Director, Director, and head coaches. Manage stewardship efforts involving student-athletes such as the annual thank-a-thon, thank you letters to endowment donors and capital project donors. Administer and manage the stewardship process for donors to endowed scholarships, coachships, and other endowed funds in coordination with the Office of Stewardship and the Athletics Business Office. Coordinate all aspects of the benefit fulfillment process for all 15 NCC Excellence Funds. Planning and Execution of Events Plan, manage, and coordinate all events hosted by NCC, including event logistics such as invitations, menus, RSVPs and initial and follow-up communication with donors. Plan and execute events co-hosted by the Alumni Association and/or Athletics such as away game tailgates, postseason events, coaches' caravans, tours of athletics facilities, etc. Manage all donor travel opportunities by working with the athletic department travel partner and serve as the main point of contact for donors interested in booking travel. Continuously reviews and analyzes events to determine effectiveness towards departmental goals, and making recommendations for improvement. Determines what marketing efforts are needed for the event, and coordinates with DAR Communications to ensure consistent approach towards appeals. Budget and Resources Maintain and reconcile two working Athletics budgets: Major Gifts & Leadership Annual Giving Team. Manage the office One Card, reconcile monthly reports, complying with Vanderbilt's policies. Review confidential, on-line monthly ledgers for accuracy per department requirements, to include reconciliation report and sign-off. Negotiate directly with sites and vendors to maximize resources and keep down costs to event attendees. Independently resolve problems/issues within the budget. Order office supplies and equipment for the office. Manage travel reimbursements through the Concur travel system. Other duties as assigned. Evening and weekend work is required. Travel as needed.
