This role will provide direct administrative support for two Marketing Leaders, and operationally support their respective teams. Direct accountabilities include coordinating calendars, and proactively preparing for business meetings to include all logistics, and leadership support. Manage heavy travel schedules, as well as submit and track all expenses. Fulfill department business liaison (BSL) role, in charge of department procurement, employee on-boarding, systems access and Ad Hoc software / hardware requests. Work independently and establish themselves as a go-to resource, working closely with the marketing operations leaders, and Chief of Staff to the CMO, in order to help connect the dots, and create and facilitate best practices.
This assignment is designed to offer a Senior Administrative Assistant experience, as well as the ability to learn the Marketing function and broader Optum businesses - while developing business management operations skills and competencies.
Administratively support three Senior Vice Presidents
Manage calendars and coordinate meeting attendance and ensure leaders are prepared for meetings
Support travel and expense processing / tracking
Provide meeting logistics support; set up and monitor web casts, prepare and provide meeting materials, ensure audio visual and telecomm needs are met, and provide room sets and catering support as needed
Monitor emails and messages as needed during core and some non-core hours
Collect needed data and content for monthly, quarterly and ad-hoc executive and business reporting
Project management: request follow ups and take follow up actions to support project deliverables
Develop and edit presentations
Serve as Business Systems Liaison (BSL) for approximately 150 employees in assigned leaders teams
Manages on - boarding experience, and assists hiring manager with all sourcing and systems access
