Brookings Executive Education (BEE), a partnership of the Brookings Institution and Washington University in St. Louis (WUSTL) Olin School of Business, brings together two premier institutions to deliver on Robert S. Brookings’ desire to “teach the art of handling problems rather than simply impart accumulated knowledge” to those in and engaged with government.
The Brookings Executive Education Registrar administers all aspects of registration services and provides support and coordination for the Master of Science in Leadership and Certificate programs through Brookings Executive Education.
The Registrar manages all student records and tuition accounts; leads the planning, development, maintenance and enhancement of student records systems and reports to BEE Director. S/he serves as a key resource to faculty and administrative officers regarding student information and policies and promotes effective communication and productive relationships with Olin’s accounting department, divisional deans’ offices, the Office of Student Records, Student Accounting, and other university entities. This position is responsible for the accurate creation, maintenance and management of current and historic student academic records. The job requires the highest commitment to preserving the integrity of student records and upholding all regulations of the Family Educational Rights and Privacy Act (FERPA).
Manages the student record functions for Brookings Executive Education programs and serves as the student’s primary resource for registration information. Manages the following activities.
Plans, organizes and coordinates graduate student registrations including entries in the on-line University Course Listings (WUCRSL), scheduling of registration and preparation of on-line instructions. Posts on-line course catalogs for other Brookings certificate programs and offerings.
Maintains accuracy of Student Information System (SIS), CRM and Access database entries, including course program changes (drops and adds), grade changes, transfer credits, course waivers and course substitutions, independent study courses.
Posts demographic changes and interdivisional changes.
Issues grade reports
Distributes WebFAC/EGrade information to faculty.
Coordinates with University Billing to ensure that accurate charges are posted to student accounts, including tuition charges and fees, preparation and issuance of receipts for reimbursement purposes, and processing of refunds. Processes credit card payments over the phone through CashNet.
Acts as the liaison between the Brookings Executive Education and the Olin Business School in order to meet university registration deadlines, commencement deadlines, and general student affairs policies.
Maintains student record files and mail files for active students.
Generates periodic informational reports through WUCRSL, and SIS and CRM for faculty and staff, including course enrollments, student academic performance data, graduation information, and student directory information.
Supports SIS and CRM training for the members of the Brookings Executive Education Office staff.
Closes out courses on online catalog and updates the website
Is knowledgeable about all Brookings course offerings and makes recommendations to current students regarding other courses they may be interested in.
Monitors course participants in certificate programs (upwards of 2,000 participants, about 1,000 actively taking courses) and communicates status reports to them, updating them on remaining offerings to complete the program.
Processes VA certification forms and sends to WUSTL for completion. Formats and sends EBlasts to students as needed.
Track’s Master’s student grades, papers and other information in Access database.
Assists with other programs as needed, posting webinars and MSL information sessions.
Keeps BEE website updated
Engages in recruiting as opportunities arise.
Bachelor’s degree with a minimum of 3 years of related work experience or seven years of related work experience may substitute for degree.
Graduate degree. Previous Registrar’s experience.
Coursework or experience in the use of university records systems and database management; experience or coursework in student advising.
The hiring range for this position is $53,604 - $67,632 annually.
