This position is responsible directly to the VP of Diversity and Inclusivity to provide complex office support. Under the VP's direction, this position will support the Center for Diversity and Social Justice with preparing reports, correspondence, project completion, processing data, maintaining filing systems, and other office duties.
- Provide secretarial support for Center for Diversity and Social Justice including calendar management, taking messages, and troubleshooting student/faculty, staff questions or concerns. - Process administrative forms for Accounting, Registrar's Office, Computer Services/Telecomm, Academic Deans, Budget Office, HR, and other university departments as needed. - Provides exceptional customer service to students, faculty, staff, and the general public working with the Center for Diversity and Social Justice. - Provides clerical and office support services by performing complex word processing tasks such as merging and sorting documents, integrating spreadsheet and data files, creating databases, and brochures. Formats and edits documents. - Run queries from Database systems. - Respond to department email account - Coordinate department meetings and trainings as directed by the VP - Prepare agendas, take and distribute minutes, and track events for the department. - Prepare and process travel authorizations, advances, and reconciliations for department staff and students. - Keep VP informed about matters affecting general departmental operations and personnel issues within the dept. - Order supplies, equipment, etc - Promotes important dates, events, and information for the Inclusivity and Diversity Department through the use or print and electronic media. - Assist with the development of budgets for grant or programs; may consult with funding agencies to resolve problems and interpret guidelines. - Work with various state and federal agencies to complete and monitor required paperwork for client charges and/or services - Prepare and maintain reports, tracking and reconciling expenses and revenues. Additionally, this position will check for discrepancies with various departments involved. - Promotes important dates, events, and information for the Inclusivity and Diversity Department through the use or print and electronic media. - Provide staffing support at various programs - Process contracts and payments to the vendors - Schedule event space - Other duties as assigned
Increasingly responsible clerical/office experience OR an equivalent combination of experience, training and/or education which clearly demonstrates the ability to perform the essential functions of the job

Ability to maintain a cordial and professional office atmosphere

Pay,Benefits, & Work Schedule
Salary: $1417.5/month with periodic increases up to $1828.125/month
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
