The division of Development and Alumni Relations (DAR) includes four major areas: Development, Advancement Services, Alumni Relations, and the Career Development Center. As a part of DAR, the Office of Alumni Relations cultivates an engaged community of alumni, parents, students, and friends of Bucknell through meaningful relationships, experiences, and connections for the common good of the University.
The Coordinator is responsible for providing administrative support to multiple programs and specific program directors. As a team member, the Coordinator supports the Bucknell Professional Network, Regional Club Program, and Table for 12, while providing a positive experience for our constituents.
This position reports to the Associate Director, Diversity and Operations.
All DAR staff members are expected to contribute to Bucknell's commitment to diversity and inclusion.
Job Duties -
Essential Functions: Supports the Bucknell Professional Network and Off-Campus Programming (Regional Clubs, Table for 12) in the following ways: -Responsible for overall event creation and registration as well as maintaining accurate and detailed information utilizing event management software. -Responsible for managing logistics and coordinating details including, but not limited to, working with and/or arranging vendor selection to schedule event space, arrange payment and obtain receipt, catering, name tags, tech needs, parking, signage, etc. -Responsible for communicating/consulting with Bucknell volunteers/board members regarding assigned events, etc. -Responsible for collaborating with the academic departments and athletics in the organization and execution of partnered events. -Responsible for and collaborating with the Bucknell University Alumni Association (BUAA) in the organization and execution of Table for 12. -Responsible for providing support to program directors, including coordinating calendars, scheduling meetings, surveys, managing check requests, pulling lists, coding volunteers, events, attendees, and gifts. -Responsible for performing general office duties and business practices, including answering phones, greeting guests, record keeping, photocopying and faxing materials, etc. -Responsible for maintaining confidentiality. -Performs other duties as assigned.
Minimum Qualifications -
-High school diploma or equivalent -At least two years of experience providing event support/coordination -Experience demonstrating mid-level or higher skills in Microsoft Office Suite -Excellent verbal and written communication skills, as well as strong editing, spelling, and grammar skills -Demonstrated creativity, initiative, and proactive problem solving skills -Demonstrated excellent interpersonal skills and ability to build positive relationships with a diverse constituent base
Other Requirements: This position requires occasional evening and weekend work to support DAR's signature events including significant blocks of time during Reunion Weekend, Homecoming Weekend, Family Weekend, Scholarship Day, Employer Expo and other weekend events as requested. This also requires a commitment to attend/participate in on-campus and off-campus events/activities outside of normal business hours as appropriate.
Preferred Qualifications -
-Three years event support/coordination experience -Experience in a higher education setting -Experience with event management software -Experience with software like Banner and/or Blackbaud -Experience with Qualtrics, Smartsheet, and Ablebits -Valid U.S. driver's license and a willingness and ability to travel occasional evenings and weekends in support of off campus events
