The Assistant Admission & Guest Services Manager (AAGSM) reports directly to the Admission and Guest Services Manager (AGSM) from the Office of Event Services for the Carolina Union. The AAGSM is responsible for assisting in the training, supervision and evaluation of 60 student employees. This position is responsible for overseeing all evening functions of Admission & Guest Services in the Carolina Union and for reservations throughout campus made through the Office of Event Services.
RESERVATIONCOORDINATION & SUPPORT
Provide guest services support staff at programming within the Union and at satellite locations to ensure positive guest experiences, safety of attendees and quick resolution of programming needs;
Assist in coordination of all ticketing functions for events not limited to online sales, will call and comp tickets, reservation lists, consignment sales, and wrist banding;
Ensure guest services team is able to prepare and ready spaces and venues for guest arrival; coordinate access to space for guests; provide general venue and campus navigation; act as a liaison for all guest questions and needs; ensure space is utilized safely and appropriately; provide follow to events through designated reporting tools.
Assist in hiring, training, supervising and evaluating 60 Admission and Guest Services student staff;
Supervise, train, and develop student supervisors to properly enforce disciplinary actions and to be directly involved with the actions taken and recorded;
Lead student staff at assigned events;
Assist with completion of bi-weekly payroll for staff on TIM.
BOXOFFICE & GUESTSERVICESDESKOPERATIONS
Ensure Box Office and Guest Services Desk are open and staffed according to hours set by Carolina Union Leadership Team;
Maintain Box Office and Guest Services Desk resources including, but not limited to, petty cash, ticket stocks, will call tickets, contracts, reservation lists, wristbands, bus schedules, paint supplies, brochures, and other Union materials;
Maintain a formal key issue/retrieval system for all public access to the Frank Porter Graham Student Union Building including 800 student organizations, administrative offices, meeting rooms, programming areas, as well as functional areas (e.g., supply closets, cabinets, etc.).
Keep the Carolina Union full time staff apprised of event outcomes, training curriculum and resources, changes in equipment statuses, and new services;
Provide nightly report of activities and accomplishments;
Resolve on all issues related to Admission & Guest Services staffing and equipment discussed in event meetings and cited in shift reports.
FINANCIALSUPPORT & POLICYENFORCEMENT
Ensure and review that all Health and Safety, Carolina Union and University Facilities Use Policies are adhered to by the reserving organization;
Enforce procedures and policies such as: Great Hall use, Pit use, SASB Courtyard use, ticketing, event safety, and University Facility Use Policy; making exceptions after consultation and approval from supervisor;
Assist in review and enforce all Carolina Union ticketing policies and procedures for complimentary and consignment tickets, returns, exchanges, fees, and sales
Education and Experience:
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Working knowledge of the event planning and management as well as the ability to relate successfully in one-to-one and group situations with people representing a wide variety of backgrounds and interests;
Must possess excellent, highly developed communication skills and be comfortable working with high-level and VIP clients;
Ability to articulate clearly the planning needs of a diverse university population and know how to meet their needs by developing the event with the organization and guiding them to the successful completion of that event;
Managerial, business, and financial skills to provide complete and accurate reservations and billing of events;
Ability to work as part of a team to assess structural deficiencies and implement effective organizational solutions;
Knowledge of facility operations and conference planning while being an excellent communicator and attentive to detail;
Ability to assess individual students' needs to design and implement training that is intentional, measurable, and a clear benefit to both the employer and the employee;
Experience in a college /university setting, with special preference for work experience in a college union;
Demonstrated abilities in management, event planning, and full-time staff supervision;
Knowledge and skill with computer applications such as reservations software, word processing, and electronic mail is essential;
Experience with managing student employees in an environment committed to student learning;
Experience and knowledge in managing conferences and major events;
Knowledge of student development and learning;
Knowledge of equipment used in presentation of events;
Ability to prepare and manage budgets.
Bachelor's degree and three (3) to five (5) years' experience with supervision of a fast-paced front of house and ticketing operation;
Strong capabilities in design including typographic, layout, publication, identity, packaging, advertising, way finding and web;
Highly effective communication skills, both written and verbal. Excellent writing capability in regards to creating original material and pertaining to research writing;
Very well organized with the ability to set internal goals to meet deadlines.
