Position Summary: We have an exciting opportunity to join our Faculty Group Practice Administration team as a Executive Assistant.
In this role, the successful candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a busy health care executives competing demands.
Develops documents for presentations or meetings.
Organizing internal and external meetings: invitations, logistics, catering.
Processing business expense reports.
Making travel arrangements, both domestic and international.
Managing Outlook calendar: setting up meetings, resolving scheduling conflicts, prioritizing meetings.
Coordinate and direct office services.
Provide complex daily administrative support and improve workflow and processes.
Ad hoc project work as needed; Performs other duties as assigned.
Minimum Qualifications: To qualify you must have a Bachelor's Degree in a related field is required. 5+ years experience supporting at the executive level. Excellent calendar management skills, including the coordination of complex executive meetings. Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook. Experience scheduling travel arrangements for management. Strong organizational skills and ability to work independently. Professionalism and excellent follow-up skills. Accuracy and attention to detail. Highly proactive / takes initiative. Ability to multi-task and to prioritize where necessary. Identifies problems and seeks solutions. Ability to build relationships (e.g. with other executive assistants). Team Player. The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important
