Under general direction, manage Facilities Management's Warehouse facility, including storehouse and receiving functions with an annual business volume of approx. $3 million. Evaluate all changes to established policy & procedures and make appropriate recommendations. Review, refine and propose warehouse rules and receiving area policies and procedures in collaboration with Facilities Management (FM) Managers, Superintendents and Supervisors.
Directly supervises the ordering, receiving, storing, inventory, distribution, shipping and issue of supplies, equipment, parts, etc. Utilize current warehouse management methods and techniques to ensure cost effective and efficient operations for a 5,000 line-item inventory control system. Maintains physical inventory and inventory records. Ensures compliance with departmental and University inventory management practices. Performs periodic internal audits of inventory.
Consult with buyers, vendors, shop supervisors and technical staff concerning specifications for items to be added to inventory, and obtains recommendations from division superintendents prior to adding or modifying inventory levels and/or stocking materials, using industry standards for guidance. Supervises and directs the work of a unit with responsibility for quality and quantity of work. Coordinate and supervise the pick up and delivery of urgent requirements. React and respond to requests for assistance from other FM units regarding material needs or for information regarding warehouse operational policy and procedures. Supervise
Participates in the selection, development and evaluation of staff to ensure the efficient operation of the function. Train and assign work to new and continuing employees. Establishes a safe working environment in the store and ensures compliance of all employees to safety regulations and policies. Work cooperatively with Campus Fire Marshall regarding routine equipment and building inspections. Collaborate with EH&S in all aspects of safety, including earthquake preparedness, pest control and hazardous materials handling.
Receives predetermined work assignments that are subject to a moderate level of control and review. Directs subordinates to complete assignments using established guidelines, procedures and policies. Oversees all aspects of freight receipt, inspection, refusal, re-direction or pick-ups. Requires full knowledge of own area of functional responsibility.
Working knowledge in storeroom and inventory practices, procedures used in the receipt, storage, and distribution of merchandise. Knowledge of sound business practices and industry standards relating to warehouse management practices.
Understanding of construction and maintenance repair materials and parts. Ability to assist shop staff and field technicians to identify and source parts through local vendors.
Ability to maintain excellent vendor relations; evaluate requests for quotations and award stock purchases to lowest responsible bidder.
Skills in decision making, problem solving and interpersonal communications. Ability to follow through and carry out assignments, using effective problem-solving skills and sound judgment skills.
Skills in verbal and written communication in the English language, active listening, flexibility with change, critical thinking, multi-tasking and time management.
Ability to interface successfully with a broad and diverse clientele base and provide excellent customer service relations for all.
Intermediate computer application skills. Familiar with personal computers and the software programs that support them such as: Word, Access, Excel and Outlook.
Working knowledge of computer systems and utilization of computerized database reporting software.
Demonstrated ability to coach and mentor staff. Ability to encourage and model effective work habits. Experience coordinating, directing and supervising the work of others.
Working knowledge of Federal and State regulations related to receipt, handling, storage and distribution of appropriate classes of materials.
Ability to maintain security of warehouse and products.
