The goal of the CVPH Medical Group is to achieve integrated clinical delivery for our patients and referring providers within the context of a community hospital environment. In order to accomplish this goal, the Practice must operate as a multi-specialty group to the fullest extent possible. The Director of Practice Operations is responsible for ambulatory care operations that support the achievement of optimal patient encounters. The Director will work as part of the practice leadership team to develop and manage efficient and effective patient workflow systems, achieve financial and operational targets, and coordinate services across clinical areas.
The Director uses independent judgment in determining needed actions and has freedom to act on practice operational issues. He/she is responsible to develop, coordinate and facilitate, with the respective supervisors and managers, on issues affecting daily operations.
The Director works closely with the Executive Director for Medical Group Management, the Regional PO Physician Leader, the COO of the Hospital, Physician Leaders, Practice Supervisors, Revenue Cycle and Finance staff, and other members of the Practice management team. He/She will interact with departments across the organization, e.g., Compliance, Facilities, HR, Budget, Accounting, and Information Systems. The Director collaborates with physicians to ensure all resources are available to provide outstanding patient care.
1.Provides administrative leadership for assigned area of responsibility.
Supervises, mentors, provides guidance and resources to all direct reports to ensure successful performance. Serves as a role model for professional behavior and meets with Supervisors on a regular, reoccurring basis, manages competing priorities to meet internal and external deadlines. Provides leadership in achieving common ground/agreement, participates in identification, recruitment and retention of supervisory staff; encourages and promotes their professional development. Works collaboratively with and in support of peer staff to ensure success of Practice Leadership team. In collaboration with CVPH human resources directs implementation of organizational HR programs including recruitment, retention, performance management/coaching and disciplinary actions.
2. Ensure operational objectives are met or exceeded.
Determines appropriate staffing levels for efficient operations, collaborates with supervisors to flex staffing/expenses around patient volumes. Implements, reviews and adjusts patient flow systems to achieve maximum efficiency. Demonstrates understanding of provider schedules to optimize service availability. Regularly monitors volume and clinic appointment access; in collaboration with MD Leadership implements action plans as appropriate to correct negative variances. Ensures appropriate processes are in place necessary to support and promote patient, provider, staff and customer satisfaction. Fosters an environment of continuous quality improvement, promoting and maintaining quality initiatives. Coordinates regular, reoccurring meetings with Physician Leadership to foster communication and ensure appropriate resources are available.
3. Collaborates with Leadership to manage financial performance.
Demonstrates knowledge of financials with ability to provide in-depth analysis and works with supervisors to ensure their understanding of division/site budgets, ensuring accountability of budget management. In collaboration with Physician Leadership, develops and implements approved business plans. In partnership with the Director, Revenue Cycle, oversees implementation of Business Processes in the practices to ensure efficient, appropriate, and timely patient-focused systems are in place to meet business process objectives. Develops and implements action plans to maximize financial performance.
4. Regulatory Compliance/Process Improvement
In collaboration with the Director, Clinical Operations and multiple CVPH departments, assures operational compliance with various regulations impacting medical group operations:
-Joint Commission, New York State DOH, CMS – Medicare provider based billing, APG billing, Accountable Care Organization participation.
Directs the process improvement program for all ambulatory sites assuring a high quality/value patient and family centered experience.
Works in partnership with CVPH ISS to oversee operations of EMR documentation systems in practices to foster quality patient care, efficient operations to support providers and regulatory compliance for meaningful use and ACO measures.
1. BA/BS in Business Administration, Health or related field required, Masters prefered.
2. Must have a minimum of 5-7 years of progressively responsible experience in a health care management setting, preferably in a large, multi-specialty group practice.
3. Certified Medical Practice Executive (CMPE) preferred.
