Prepare general correspondence and reports, including confidential documents, signing some correspondence in own name, and drafting responses to correspondence on own initiative.
Co-ordinate the team schedules and organise meetings, conference calls and lunch and dinner reservations, ensuring internal meeting room and refreshment bookings are made; highlight conflicting appointments and use initiative to resolve sudden changes to itineraries.
Organise client presentations and conferences, ensuring required facilities are available and presentations are prepared using a variety of pc packages.
Organise Client hospitality for team events when required. Co-ordinate needs with in-house and external hospitality companies and ensure smooth administration of information and ticketing prior to the event.
Organise domestic and international trips including all travel arrangements, accommodation, maintaining the itinerary, ordering currency and compiling expense claims on return; respond to the need to change travel arrangements at short notice.
Respond to incoming telephone calls, and monitor and respond to incoming email and voicemail; deal with internal and external contacts including important clients to gather or relay information, including sensitive matters which require considerable diplomacy.
Organise incoming and outgoing mail and faxes, courier services, special delivery requirements, and maintain all filing systems, including confidential material.
Organise and process some subscriptions for the department, ensuring subscriptions are delivered timely, and payment is made to publication promptly by our Accounts department, also keeping a detailed log of expenditure relating to this.
Open Project Accounts for reimbursable expenses, and monitor monthly activity. Raise invoices (both fees and expenses) when necessary, and monitor incoming payment.
Co-ordinate team diaries, holiday planning and absence records.
Co-ordinate visits from senior management from abroad as and when required, organise their itineraries, accommodation and hotel transfers, greet them on arrival and resolve any problems.

Experienced Assistant able to work independently
Strong communication skills, with tact and diplomacy and ability to converse with senior management.
Strong organisation skills.
Advanced knowledge of Word, Powerpoint, Excel, Internet, Concur
