The Faculty Assistant II is a full-time, non-exempt Staff position reporting to the Associate Dean of Student Affairs and Administration within the Chapman University Dale E. Fowler School of Law.
The Faculty Assistant II provides administrative and secretarial support for the faculty of the Law School. This position handles external relations between Law School programs and clinics directed by faculty and the legal profession and the community. The incumbent coordinates special events, including scheduling dates and making facilities and travel arrangements, arranging hotel and/or transportation accommodations under the direction of faculty members. This position types proofreads and edits correspondence, faculty publications, manuscripts including syllabi, class outlines, class rosters, student examinations and class handouts and performs other duties as assigned. This position may work some evening and weekend work hours.

Specific Job Requirements: Bachelor's degree or equivalent education or experience related to the duties and responsibilities specified. Possess a minimum two years' experience in providing administrative support. Strong written communication skills to prepare clear, concise, and grammatically correct business correspondence, including solid editing and proofreading skills. Excellent proficiency in PC based computer software including Microsoft Office (Word, Excel, Outlook, PowerPoint, and Access). Proficiency in other common office equipment and software. Technical skills to learn to use enterprise software systems needed for the position. Strong oral communication skills to convey accurate information in a tactful and diplomatic manner. Excellent telephone etiquette skills and the ability to direct calls, give information and take accurate and detailed messages. Strong customer service and interpersonal skills, including the ability to foster effective relationships and work with a diverse group of individuals from within and outside the University community. Ability to maintain a high level of confidentiality. Strong organizational skills to carrying out duties when faced with interruptions, distractions, and a fluctuating workload. Ability to learn and interpret policy and procedures. Ability to formulate and communicate logically with sound conclusions and recommendations. Skill to prepare basic online financial forms and reconcile expenses. Ability to schedule and coordinate logistics for meetings, workshops, and events, including coordinating catering, travel, and special equipment. Ability to establish and maintain office files.
Desired: Working knowledge of University policies and procedures that pertain to the duties of the position. Working knowledge of PeopleSoft.
