Advertised Summary Job Description: The Administrative Assistant will support the day-to-day operations of the Clinical Practice of the Toni Stabile Osteoporosis Center, including clinical and academic administrative responsibilities.
Meet and greet patients in a professional cordial manner, maintain constant awareness of patient flow and monitor patients in waiting area. Answer phones, schedule and confirm appointments for office using GE/IDX Web. Obtain demographics and insurance prior to visit and verify insurance through Experian to ensure account is secured prior to visit. "Arrive" patients in GE/IDX, request insurance cards, obtain medical records from new patients, intake forms and scan into electronic health record. Obtain prior authorizations for medications as necessary. Obtain approvals for medications administered by physician in the office, maintain schedule for injection administration and arrange delivery of medications per each patient's injection schedule. Follow cash management ColumbiaDoctors guidelines by collecting TOS payments and outstanding balances prior to patient visit, create daily TOS Cash/Check logs, prepare patient receipts, make deposits and reconcile against daily schedule. Review and submit charges through electronic health record with an understanding of ICD9-CM and CPT coding. Reconcile encounters against daily schedules. Post payments, process refunds, review and follow up on accounts receivable. Access patient account inquiry on GE/IDX in order to respond to patient inquiries. Follow ColumbiaDoctors Revenue Cycle Policies and Procedures.
Coordinate and arrange schedule for the Director of the Toni Stabile Osteoporosis Center. Maintain faculty credentials for University, Hospital and Managed Care compliance. Responsible for facilities management, equipment maintenance and supplies inventory for the Center. Maintain patient charts, file records and scan records into electronic health record as needed. Obtain results of laboratory testing and other testing as needed. Perform other duties as assigned.
General Minimum Qualifications: Requires a bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Additional Specific Minimum Qualifications: Experience in a medical office. Working knowledge of Managed Care, Medicare and Medicaid Insurances and have an understanding of how the insurance plans work, including referrals and pre-authorizations. Computer literate to include keyboarding skills. Must possess strong organizational and leadership skills. Excellent customer service skills. Must be able to interact with all levels of staff and must have an understanding of patient confidentiality. Conform to all applicable HIPAA, billing compliance and safety guidelines.
Preferred Qualifications: Knowledge of GE/IDX Web Scheduling. Knowledge of electronic heath record, specifically Allscripts. Knowledge of Microsoft Office Applications.
