Commodities and Global Markets are looking for an experienced and professional Executive Assistant to support the Global Chief Operating Officer and his wider team in Sydney and cover a 12 months maternity leave.
Key Responsibilities include:
Extensive and complex diary management, coordinating meetings and conference calls across several time zones, managing conflicts for internal and external meetings
Offshore travel arrangements including coordination of approvals and preparation of itineraries, travel expenses and related matters
Formatting Word documents and PowerPoint presentations including managing the approval and distribution/printing process
Liaising with leadership team for regular meeting agendas, yammer submissions and compliance and training requirements
Management and administration of the Macquarie/Raise Youth Mentor program
Organising quarterly offshore Town Hall meetings
Processing staff movements including onboarding new starters, processing transfer forms and departure forms
Office administration duties for wider team; including,
Updating org charts and global distribution lists
Administering invoices and expenses as appropriate
Procurement of IT equipment where required
To be successful in this role, you will be flexible and comfortable with change, an innovative thinker used to working in a fast paced work environment with the ability to manage expectations and work with senior stakeholders. You will also be able to demonstrate the following:
Previous experience supporting large global teams in a fast-paced and professional environment
Confidence in all Microsoft Office packages, knowledge of yammer and Office 365 will be highly regarded
Strong organisational and time/priority management abilities
High level of attention to detail
Good judgment and discretion on confidential matters
Team player who works well with other Executive Assistants
