We have an exciting opportunity to join our team as a Office Supervisor in the Center for Children Department. To qualify a High School Diploma or equivalent required, Associates Degree preferred. Three to five (3-5) years of healthcare experience working in a patient care front office required. Experience working in a high volume pediatric health care setting preferred. Experience utilizing electronic medical record and providing direct supervision required. Bilingual (Spanish) preferred. Excellent communication and interpersonal skills required.
In this role, the successful candidate will report to the Operations Manager, the supervisor is responsible for assisting with supervision and scheduling of pediatric clinic coverage, monitoring daily registration/scheduling operations work flow and management of EPIC schedules and templates. Qualified candidates must be able to effectively communicate with all levels of the organization.
COORDINATES ACTIVITIES AND PROJECTS FOR DEPARTMENT. Plans and coordinates interrelated activities effectively and efficiently according to schedule. Makes requests to other areas, allowing them sufficient time to reply; responds quickly in order to ensure efficient coordination of activities. Conveys correct information to involved parties. Schedules appointments, meetings and special events, confirms attendance, and facilitates program operation. Attends meetings and participates on committees as required. Communicates all relevant issues to Director and Administrative Director.
ASSISTS SECTION IN COMPLETION OF SPECIAL PROJECTS, REPORTS, AND ACTIVITIES. Follows guidelines given by Administrative Director. Brings any problems or questions to Administrative Director's attention. Ensures requested and related information is accurate and complete. Submits data to Administrative Director as neat and well-written.
MONITORS AND MAINTAINS EXPENDITURES DATA RELATED TO EQUIPMENT AND SUPPLIES. Reviews expenditures against projections and identifies discrepancies. Gathers, compiles, and prepares data for reports in accordance with Administrative Director instructions. Edits information for reports and ensures it meets predetermined criteria. Makes recommendations concerning utilization of alternate vendors based on comparison of expenditure data.
INTERACTS WITH VENDORS, SUPPLIERS, AND TELEPHONE CARRIERS CONCERNING BILLING, PRICING, AND RELATED DISCREPANCIES. Reviews bill against purchase order or agreement in order to verify its accuracy. Investigates discrepancies and resolves issues with vendors concerning billing and pricing issue. Verifies that vendor bills are based on correct tariff rules. Compares prices to ensure lease expensive price is paid for comparable items.
COMMUNICATION/RELATIONSHIP WITH OTHERS. Respect and maintain confidentiality of all patient, physician, staff, and hospital related information. Cooperates and communicates effectively and harmoniously with peers, patients, administration, staff, physicians, nurses, vendor representatives, consultants, and general public in a courteous and professional manner. Develops and maintains an effective working relationship within center. Encourages open communications of opinions among staff.
COLLECTS AND PREPARES DATA, STATISTICS, AND OTHER MATERIALS FOR REPORTS AND/OR BUDGETS. Prepares requested data thoroughly and accurately. Obtains information within time frame and specified by Administrative Director. Utilizes appropriate sources and assembles data in accordance with instructions. Researches information thoroughly to ensure that reports are created and printed correctly. Creates and generates reports based on data input on quarterly, annually, and as needed. Modifies reports as required.
PERFORMS VARIETY OF DUTIES IN SUPPORT OF OFFICE OPERATIONS. Retrieves and transmits electronic mail properly. Checks vendor bills against departmental records and processes them in a timely manner. Maintains accurate records on time sheets. Identifies problems that arise with time sheets and supply orders and communicates these problems to Administrative Director for resolution. Orders and maintains inventory of office supplies. Ensures adequate levels of office supplies are available on an ongoing basis. Set up and maintains files and complex records of departmental and program activities. Maintains records in up-to-date manner. Maintains information for department in accordance with department, medical center, federal, state, and city agencies regulations.
ASSISTS IN SELECTION AND EVALUATION OF STAFF AND PROVIDES THEM WITH TRAINING AND ONGOING GUIDANCE. Makes recommendations and provides feedback for evaluation which are fair, accurate, and objective based on qualifications/performance. Follows personnel and departmental guidelines when interviewing or evaluating personnel. Ensures Administrative Director is kept aware of performance of each employee on an ongoing basis. Provides feedback to Administrative Director as part of written performance evaluation process. Trains new employees effectively in procedures of department and pertinent medical center policies. Offers continuing guidance and assistance to employees on work activities, procedures, and performance-related issues as appropriate. Keeps Administrative Director apprised of situations which may require disciplinary action. Maintains accurate records of personnel and payroll information, processes time sheets, and handles payroll/personnel discrepancies. Reviews and makes recommendations concerning requests for time off from staff to Administrative Director.
ASSIGNS DIRECTS AND COORDINATES WORK OF SUBORDINATE CLERICAL STAFF. Utilizes personnel efficiently by delegating assignments based on employee's skills and ability in order to meet deadlines and establish adequate personnel coverage. Monitors assignments to ensure neatness, accuracy, and completion. Ensures that tasks are completed in accordance with established practices. Communicates to employee responsibilities. Establishes office procedures to be followed and regularly monitors. Directs staff to schedule/confirm appointments.
