The Senior Administrative Assistant provides support and assistance to the Dean of Spiritual Formation and the three directors within the Spiritual Formation Department. This position is responsible for office management, department budget and multiple ongoing programs with limited or no supervision. This position supervises a part-time office assistant and student workers. The Senior Administrative Assistant reports directly to the Dean of Spiritual Formation.
Primary responsibility involves the full support of the Dean of Spiritual Formation.
Perform a broad range of administrative and planning functions that involve filing, ordering office supplies, preparing letters, reports, minutes and related materials from notes as well as, complex and technical secretarial work.
Travel arrangements and scheduling on behalf of the Dean of Spiritual Formation.
Receive visitors and screen calls to determine priority and refer calls to the appropriate person.
Full responsibility for the department budget and necessary accounting processes.
Work with Spiritual Formation Department personnel in strategic planning.
Complete various surveys, data tracking, and research projects.
Help with the planning and coordination of special events and activities related to Spiritual Formation.
Coordinate meetings, including room reservations and refreshments.
Supervise a part-time office assistant.
Identify risks to the organization within the department and discuss risk reduction options with immediate supervisor.
Perform related duties as assigned by the Dean of Spiritual Formation.
Significant experience in office administration.
Experience with budget management, report building, and basic accounting skills.
A commitment to Christian higher education with exceptional administrative and organizational skills necessary to assume responsibility for a wide variety of tasks.
Strong computer skills and knowledge of Microsoft Word, Excel, Power Point, Access, and Outlook are essential.
Ability to function efficiently and professionally against the pressure of continual interruptions.
Ability to take initiative, work independently, make decisions, and handle confidential information; along with dependability in follow-through.
Excellent interpersonal skills and team oriented attitude; ability to relate with students, faculty, staff and other publics with a friendly and flexible disposition.
Trustworthy preservation of confidentiality in the management of conversations, records, and financial data.
Ability to communicate clearly both orally and in writing.
Knowledge and acceptance of principles and philosophies of Vanguard University.
