Perform a full range of strategic procurement activities providing dedicated purchasing support, including all food items, to Dining Services, a business unit of Student Auxiliary Services operating 19 on-campus locations with annual revenue in excess of $27M. Develop and execute procurement strategies ensuring alignment with client requirements. Key responsibilities include development of strong working partnerships with clients to optimize sourcing, supplier selection, pricing, contracting and ongoing supplier management to ensure contract compliance and adherence to university procurement policies, procedures and practices. Provide excellent service to students, faculty and staff.
Work with the Dining Services business team to identify and implement initiatives to achieve cost savings and process improvements aligned to their operational goals. Utilize analysis of industry trends and experience within food sourcing supply chain to develop and maintain a strategic sourcing roadmap ensuring that plans are executed to achieve success.
Work with client to develop product specifications and identify sources of supply based on product knowledge, departmental requirements, availability, pricing goals.
Act as initial point of contact for purchases of goods and services for Dining. Prepare and send out requests for proposal, analyze supplier bids, work with client to make the final selection based on the overall value proposition provided by the supplier. Determine appropriate method required to acquire goods and services including purchase orders, P-card, Invoice Payment Form, ensuring adherence to RIT purchasing policies and procedures and state and federal regulations.
Manage relationships with suppliers including: 1) development of key performance measures and evaluation processes; 2) monitoring supplier quality and conformance with contractual requirements; 3) review and continually monitor existing supplier contracts for accuracy of invoiced charges and potential cost savings/efficiencies; and 4) meet regularly with department end-users and suppliers to reinforce expectations and maintain good supplier relations.
Once a buying decision has been made, work with supplier to finalize the contract terms and conditions, including those for Independent Contractors; process requisitions in the Oracle purchasing application. Authorize exception to bidding forms for purchases that fall outside of university purchasing policies.
Develop and make recommendations for process improvements that result in greater effectiveness and efficiencies in the procure-to-pay cycle. Ensure that procurement decisions are made with a full-understanding and appreciation of the business process implications for other departments including Accounts Payable. Evaluate and track added value of procurement strategic sourcing outcomes and governance as defined within the Procurement Services Office (PSO) standard metrics.
Create POs for campus catering requests ensuring customer has contacted RIT First prior to extending to outside suppliers.
Act as buyer of additional commodities assigned for campus and RIT Inn purchases including equipment, uniforms, linens, beverages (coffee systems, bottled water).
Perform duties and responsibilities, including special projects assigned by PSO and Dining Services management, to accomplish tasks necessary for efficient departmental operations
Required Minimum Qualifications
BS in Accounting or Business Administration required with six – seven years relevant experience OR an equivalent combination of education and experience
Experience with the Oracle financial applications or another enterprise-wide system required.
Experience with the procure-to-pay cycle, knowledge of generally accepted accounting principles, and strong analytical skills required.
A high-level of proficiency with Microsoft Excel and Access required.
Skills: Must possess excellent interpersonal skills, and the ability to interact effectively with individuals from diverse backgrounds, both internal and external to the organization. Must have well-developed oral and written communication skills. Must be able to effectively prioritize work demands, pay attention to detail, handle multiple tasks simultaneously, work independently and exercise sound judgement in the execution of all responsibilities.

MBA and/or CPM preferred. Preference given to individuals who have a track record of successful purchasing performance in the food service industry and/or in an academic setting in dining/food service operations.
