Position Summary: We have an exciting opportunity to join our team as a Administrative Supervisor.
In this role, the successful candidate Responsible for providing administrative supervision in the Cardiac Cath Lab, including managing patient schedule, coordinating with hospital and professional billing staff, managing relationships with offices of referring physicians, translating for families of patients and assisting Director with departmental projects. Liaises with leadership to ensure coordination for cases added on to the schedule on the same day as the procedure
Performs other duties as assigned.
Participates in scheduled meetings relevant to scope of responsibilities.
Develops, recommends and implements effective changes to departmental policies and procedures; maintains departments SOP (Standard Operating Procedures) manual on all administrative practices and processes.
Negotiates solutions to effectively resolve pre-certification issues involving professional billing company, hospital finance and office staff.
Liaises with the Revenue & Informatics Analyst to ensure synchronization of data flowing between scheduling/registration system and accuracy of billing charges; liaises with professional billing company to coordinate pre-certification of procedures.
Coordinates Interventional Cardiology Fellowship Program, including ensuring pre-fellowship HR paperwork is received from the applicants, processed by required departments at NYU and the fellowship candidates are certified by the House Staff Affairs office as cleared to begin the fellowship.
Collaborates with referring physicians offices to assess accuracy and completeness of pre-procedure patient documentation for cardiac cath procedures.
Coordinates with Admitting and Finance department staff to ensure all procedures are properly scheduled, financially cleared and admitted, e.g., monitor communications between the above departments regarding discrepancies in registration data such as demographic information, accurate diagnosis codes and pre-certification of the correct CPT codes.
Oversees administration of scheduling/registration system; ensures all patients and procedures are properly registered in system; may monitor compliance with TJC Patient Safety Goal of scheduling verification.
Orients and trains new staff for the department; trains staff on new procedures/processes; assesses job performance and conducts annual performance reviews for staff.
Supervises daily office operations and support staff activities; manages staff schedules, determines work assignments and workflow to ensure priorities and deadlines are met; maintains employee records.
Minimum Qualifications: To qualify you must have a Bachelor's Degree in a related field. Minimum two years related experience or an equivalent combination of education and experience. Knowledge of computer systems, typing/word processing, database and spreadsheets. Excellent communication and interpersonal skills required
